Key Objectives:
The incumbent is responsible for managing the schedules and communications of key personnel in the Company. They prioritize emails, calls and arrange meetings and business events.
Main Activities:
(main day-to-day activities and the outputs of the role the individual is expected to deliver)
Responsibilities
- Manage phone calls and correspondence (email, letters, packages, etc.)
- Maintaining directory list (contact details)
- Assist in Company engagement activities, lunch, events and coordination
- Manage agendas/travel arrangements/travel insurance/appointments for the Management
- Inform various department of notice and/or meeting schedule via calendar invites
- Manage correspondences and reply on behalf for the Management
- Plan, coordinate and ensure all meetings schedule notifications are up to date and follow up documents
- Attending Management meetings and minutes to follow up
- Assist Business Development on prior to Tenancy Agreement correspondence
- Manage leasing, contracts, renovation and coordination with Management and Operation team
- Follow up on all tenancy agreements (current, renewal, new)
- Liaise with outlets management (Landlord) on outstanding documents inclusive of repair maintenance
Qualifications / Experience
(Academic qualifications as well as experience)
- Diploma or relevant certifications in administration / secretarial studies
- Min. 2 years of relevant experience
- Good coordination skills
- Excellent organization and communication skills
- Ability to work independently
- Experience with Zoom, Outlook, Leasing Coordination, Minutes Taking and Calendar Management

- 09:00am to 06:00pm (5 days work week)
