Job Summary

The Administrative Assistant in the Academic Department provides comprehensive administrative support to faculty, staff, and students within the department. This role involves managing office operations, coordinating departmental activities, and ensuring efficient communication within the academic community.


Responsibilities


Office Management

  • Maintain and organize departmental files, records, and documentation.
  • Manage departmental calendars, schedule appointments, and coordinate meetings.
  • Order and maintain office supplies, equipment, and ensure a well-organized workspace.


Communication

  • Serve as the primary point of contact for the department, handling inquiries and providing information to students, faculty, and external parties.
  • Distribute departmental announcements, emails, and other communication to relevant stakeholders.
  • Assist in drafting, proofreading, and formatting departmental correspondence and documents.

Student Support

  • Assist students with inquiries related to academic programs, course schedules, and departmental policies.
  • Manage student records, including enrollment, grades, and course evaluations.
  • Collaborate with academic advisors to provide support to students as needed.

Faculty Support

  • Provide administrative support to faculty members, including assistance with scheduling
  • Coordinate faculty meetings and assist with documentation as required.

Data Management

  • Maintain accurate and up-to-date departmental databases, including student and faculty information.
  • Generate reports and compile data as needed for departmental assessments.


Qualifications

  • High school diploma or equivalent
  • Proven experience as an administrative assistant or in a similar role.
  • Strong organizational and time-management skills.
  • Excellent communication and interpersonal abilities.
  • Proficient in Microsoft Office Suite and other relevant software.
  • Ability to handle confidential information with discretion.
