Job Purpose:
To Support the Highest Management Level
Duties and Responsibilities:
- Perform secretarial and administrative support to the Managing Director (MD) and Directors (Business Development, Shared Services).
- Manage MD’s calendar, schedule, conferences, meetings, appointments, and travel arrangements, which includes booking of venues.
- Prepare meeting agenda and minutes.
- Manage mails, emails when requested, and phone calls for MD and Directors.
- Handle confidential information, documentation and maintain the security of the MD and Director’s records and files.
- Translation of documents.
- Other duties include obtaining signatories for documents.
- Any ad hoc duties as assigned by the MD and Directors.
Job requirements:
- Organization and time management skills.
- Proficient in use of Microsoft Office applications.
- Good interpersonal skills and able to communicate with all levels of people.
- Fluent in the Japanese language is essential for this role as the successful candidate must be able to read and write the reports in Japanese for the use in MOL Head Office in Japan.
