Admin Executive

Job Description: We are looking for an Admin Executive to support the administrative functions related to freight transport arrangements. As an Admin Executive, you will play a crucial role in ensuring the smooth and streamlined operation of our logistics processes. Your responsibilities will include managing documentation, coordinating with various teams, handling office tasks, and contributing to the overall efficiency of our logistics department.

Key Responsibilities:

  1. Document Management: Handle and organize transport-related documents, including invoices, bills, and shipping records.
  2. Coordination: Work closely with the operations team to facilitate communication and ensure efficient freight transport arrangements.
  3. Office Administration: Perform general administrative tasks, such as managing phone calls, scheduling appointments, and maintaining office supplies.
  4. Data Entry: Accurately enter data into relevant systems, ensuring the integrity and completeness of information.
  5. Customer Communication: Assist in communicating with clients regarding shipment status, documentation requirements, and other relevant information.
  6. Vendor Relations: Coordinate with vendors and suppliers to ensure timely and accurate delivery of goods and services.
  7. Travel Arrangements: Assist in organizing travel arrangements for staff involved in logistics operations.
  8. Meeting Coordination: Schedule and coordinate meetings, take minutes, and provide administrative support during team meetings.
  9. Inventory Control: Monitor and manage inventory levels of office supplies and materials.
  10. Problem-Solving: Assist in resolving administrative issues and challenges to maintain smooth logistics operations.
  11. Compliance: Ensure compliance with company policies, industry regulations, and legal requirements.
  12. Team Collaboration: Collaborate with other administrative staff to support the overall functioning of the logistics department.

Requirements:

  1. Proven experience in administrative roles, preferably in the logistics or transportation industry.
  2. Proficient in Microsoft Office Suite and other relevant software.
  3. Excellent organizational and multitasking abilities.
  4. Strong communication and interpersonal skills.
  5. Detail-oriented and capable of maintaining accuracy in administrative tasks.
