OPERATION EXECUTIVE

Job Description: We are currently seeking a dedicated and skilled Operation Executive to join our team and contribute to the success of our freight transport operations. As an Operation Executive, you will play a pivotal role in coordinating and managing the administrative aspects of freight transport arrangements. Your responsibilities will include overseeing documentation, coordinating with vendors and stakeholders, ensuring regulatory compliance, and contributing to the overall efficiency of our logistics operations.

Key Responsibilities:

  1. Transport Documentation: Handle and manage various transport documents, including bills of lading, shipping manifests, and customs declarations.
  2. Vendor Coordination: Liaise with carriers, freight forwarders, and customs brokers to ensure smooth collaboration and execution of transport operations.
  3. Shipment Monitoring: Proactively monitor shipments, track freight, and provide timely updates to clients and internal teams.
  4. Customs Clearance: Coordinate with customs officials to facilitate the clearance of shipments, ensuring compliance with regulations.
  5. Financial Administration: Manage financial documents, reconcile invoices, and collaborate with the finance department for accurate billing and payments.
  6. Inventory Management: Track and manage inventory levels of shipping materials and documentation supplies.
  7. Time Management: Prioritize tasks, handle time-sensitive documentation, and optimize workflow for administrative efficiency.
  8. Regulatory Compliance: Ensure adherence to industry regulations, company policies, and legal requirements.
  9. Crisis Management: Anticipate and prepare for potential emergencies or disruptions in freight transport operations.
  10. Technology Integration: Utilize relevant software and tools to enhance administrative efficiency in freight transport operations.
  11. Continuous Improvement: Identify areas for improvement, gather feedback, and implement enhancements for process optimization.
  12. Staff Training Coordination: Facilitate training sessions for administrative staff, ensuring competency in industry regulations and efficient practices.

Requirements:

  1. Proven experience in freight transport operations and administrative coordination.
  2. Strong organizational and communication skills.
  3. Knowledge of regulatory requirements in the logistics industry.
  4. Proficiency in using relevant software and tools for documentation and tracking.
