Personal Assistant
· Administer of Advisor’s calendar including organizing and managing appointment schedule.
· Organize and manage travel arrangements.
· Prepare correspondence, reports, materials for presentations, meetings etc.
· Co-ordinate and set up the arrangement for the meeting.
· Oversea agenda for the meeting.
· Translation of correspondence from English to Chinese / Bahasa and vice versa.
· Screen and receive visitors and guests.
· Screen telephone calls.
· Set up and organize filing and other office systems.
· Handle basic accounting/shares matters for the Advisor and Director.
· All standard duties related to assisting the Advisor with his personal life and his family members including their personal properties (local & oversea).
· Liaise, draft, comment, review, edit and send contracts on behalf of Advisor to another Company.
· Handle matters related to personal / Company vehicle.
· Any other ad-hoc duties as and when required
Office Admin Assistant
· Cleanliness of Meeting Room including clear cups / plates after each meeting is done.
· Cleanliness of Common area (Pantry, Store, Photocopier).
· Gift & Hamper Recording
· Travel Management for Employee on Business Trip
- Hotel (Sourcing, Comparing and Booking)
- Air Ticket (Sourcing, Comparing and Booking)
- Organize / Assists in annual events (Chinese New Year, Christmas / Year-End, etc).
· Office Facility / Equipment Management:
- Air Con maintenance and servicing
- Printers’ maintenance and servicing
- Water Dispenser maintenance and servicing
- Fixture and Furniture, office carpet (to ensure in good condition)
- Plumber
- Desk Phone faulty
