Office Administrator cum Secretary

  • Provide secretarial support to MD and HR Director
  • Manage calendar; schedules, appointments as and when required.
  • Administer all expense claims and ensure timely reimbursement.
  • Be responsible for confidential and sensitive materials/documents
  • Manage vehicle-related matters pertaining to Summons, Traffic Offences, Road Tax Renewal(s), COE Renewal(s), Insurance Renewal
  • To coordinate with Supervisors whenever vehicle is due for inspection
  • Responsible for ordering stationeries, pantry items, printing papers and all printing-related items (envelopes, letterheads etc.)
  • Handle incoming mails, distribution to respective departments and dispatch of outgoing mails.
  • Manage facilities including Macpherson and Tuas site and ensure office is in pristine condition at all times.
  • Inspect the facility on a regular basis (minimum one per week) and ensure the facility is well maintained, damaged equipment and furnishings are repaired and in working condition.
  • Administer use of meeting rooms and ensure they are well maintained at all times
  • Administer office asset disposal
  • Manage travel arrangements and accommodation for RISG.
  • Manage petty cash for RISG and be accountable for all outgoing payments.
  • Handle daily correspondence and document(s)
  • Administer all matters relating to document storage at Crown Service effectively
  • Prepare and issue gifts for staff (Rewarding them with badges of compliment(s))
  • Manage front office
  • Administer membership subscriptions
  • Acquire a good understanding of the Purchase Order (PO) processing system and raise PO when required.
  • Involvement in Continuous improvement projects
  • Maintain and Control office keys
  • Manage cleaners, Dispatch staff and security guards
  • Min Diploma and 3 years’ experience as a Office Administrator or relevant roles.
  • Good hands-on experience in facilities management
  • Excellent command of written and spoken English.
  • High level of confidentiality, professionalism and diplomacy as well as exceptional interpersonal and communication skills.
  • Posses excellent organizational and prioritizing skills.
  • Proficient in Google applications.
  • Good team player with positive work attitude.
  • 5 days work week - 8.30am to 5.45pm
  • 14 & 16 Jalan Mesin - Macpherson - Nearest MRT ; Tai Seng (Bus Number to reach : 8, 62, 90, 151)
