JOB SUMMARY:

The Executive, Artistic Administration handles all aspects of coordination of visiting artists' schedules and serves as primary contact for Guest Artistes while they are in Singapore to perform for SSO (VCH) Programmes. The Executive also provide administrative support to artistic operations for concerts and events for SSO and ensure that all information is properly communicated to production, marketing, and all other departments within SSO.


JOB DUTIES AND RESPONSIBILITIES:

Strategic Programming and Artistic Planning

  • Support the Company’s artistic plans in elevating chamber music artistic excellence and continue building a chamber music scene in Singapore.
  • Assist Director, Artistic Planning & Administration and Assistant Manager, Artistic Administration with the following SSO (VCH) programmes; VCHpresents Chamber, Baroque Festival, Recitals, and ad-hoc projects.


Artiste Management

  • Participate in season planning for SSO (VCH) programmes.
  • Prepare artiste contracts.
  • Obtain personal information and bank details of artiste and accompanying chaperones.
  • Organise logistics which include (but does not limit to):
  • International travel
  • Hotel accommodation
  • Airport and inland car transfers
  • Artiste backstage passes
  • Artiste instrument transport (if applicable)
  • Backstage hospitality requirements
  • Artiste itinerary
  • Meet and greet artiste at the airport (when necessary) and rehearsal/concert venues.
  • Ensure artiste receives updated information (e.g. change of rehearsal timing, transfer timing, etc.).
  • Attend to artiste’s needs when in Singapore.
  • Artiste's chaperone for events which include (but does not limit to) for rehearsals, concerts, reception, autograph sessions, and interviews.
  • Update and maintain proper archival and safe keeping of artistes’ information after each concert.


Post-concert duties

  • Submit artiste’s engagement contract and bank information for payment to Finance department.
  • Prepare artiste’s income tax form IR37D to tax department.
  • Send concert reviews to artiste.
  • Exporting and sharing of recorded archival material with artiste.
  • Maintain proper filing and safe keeping of artistes’ folders after each season.


Cross-departmental Collaboration

Orchestra Management & Library:

  • Provide support to Orchestra Management by communicating with Orchestra musicians on rehearsal schedule, transport, and other matters for concerts where SSO musicians are involved in.
  • Request support for purchase/hire of music scores


Marketing, Development, Corporate Communications and Customer Experience:

  • Provide consolidated artiste’s press materials to Marketing for production of season brochure and marketing activities.
  • Coordinate on public relation events involving artistes such as media interviews, receptions, and autograph-signing sessions.
  • Coordinate with Marketing on sales of artiste’s merchandise and related post-administrative matters.
  • Coordinate complimentary tickets for various stakeholders.


Collaboration with Production Department and Orchestra Management:

  • Communicate to stage managers any technical requirements by artiste.
  • Provide Stage Management team with relevant information for technical riders; such as programme, stage layout, and any other relevant details
  • Prepare Dressing Room and direction signages required for the rehearsals and concerts.
  • Prepare and submit all administrative forms for backstage access and vehicular access as required by the venue for the execution of the programmes.


REQUIREMENTS

  • Minimum Diploma and above
  • Flexibility to work nights and weekend as required
  • Proficiency in Microsoft Office applications and IT systems
  • Strong interpersonal, organisation and communication skills, as well as the ability to work well in teams
  • Good time management and organizational skills
  • Ability to work under pressure
  • With or without prior experience are welcome
  • Candidates with higher qualification and more years of relevant experience may be offered Senior Executive position
