Job Title: Bookkeeping and Admin
Job Summary:
The Bookkeeping and Administration Specialist will play a vital role in ensuring the smooth and efficient operation of our workshop. This position requires strong administrative skills, excellent time management, effective communication with customers and colleagues, and a minimum of 3 years of relevant working experience. A minimum diploma qualification in accounting, business (major in accounts), or equivalent is required.
Key Responsibilities:
Administrative Duties:
- Manage appointments, ensuring efficient scheduling of service appointments, and optimize workshop capacity.
- Prepare accurate service estimates, invoices, and work orders.
- Coordinate with technicians to ensure a seamless workflow and efficient allocation of tasks.
- Maintain detailed records of customer interactions, service history, and vehicle information.
- Process payments and handle financial transactions accurately.
- Order and manage the inventory of parts and materials as needed for vehicle repairs.
- Perform data entry and maintain both digital and physical records.
Customer Service:
- Greet customers warmly and assist them in assessing their service needs.
- Listen to customer concerns, requests, and descriptions of vehicle problems.
- Assist technicians in conveying accurate and clear explanations of repair and maintenance services, estimated costs, and timelines to customers.
Qualifications:
- Minimum of 3 years of relevant work experience in bookkeeping and administration.
- Diploma qualification in accounting, business (major in accounts), or equivalent.
- Strong administrative and organizational skills.
- Excellent time management and multitasking abilities.
- Effective communication and interpersonal skills.
- Proficiency in using accounting software and computer applications.
- Attention to detail and accuracy in financial transactions and record-keeping.
- Ability to work in a fast-paced automotive workshop environment.
