Job Title: Bookkeeping and Admin



Job Summary:

The Bookkeeping and Administration Specialist will play a vital role in ensuring the smooth and efficient operation of our workshop. This position requires strong administrative skills, excellent time management, effective communication with customers and colleagues, and a minimum of 3 years of relevant working experience. A minimum diploma qualification in accounting, business (major in accounts), or equivalent is required.


Key Responsibilities:


Administrative Duties:

  • Manage appointments, ensuring efficient scheduling of service appointments, and optimize workshop capacity.
  • Prepare accurate service estimates, invoices, and work orders.
  • Coordinate with technicians to ensure a seamless workflow and efficient allocation of tasks.
  • Maintain detailed records of customer interactions, service history, and vehicle information.
  • Process payments and handle financial transactions accurately.
  • Order and manage the inventory of parts and materials as needed for vehicle repairs.
  • Perform data entry and maintain both digital and physical records.


Customer Service:

  • Greet customers warmly and assist them in assessing their service needs.
  • Listen to customer concerns, requests, and descriptions of vehicle problems.
  • Assist technicians in conveying accurate and clear explanations of repair and maintenance services, estimated costs, and timelines to customers.


Qualifications:

  • Minimum of 3 years of relevant work experience in bookkeeping and administration.
  • Diploma qualification in accounting, business (major in accounts), or equivalent.
  • Strong administrative and organizational skills.
  • Excellent time management and multitasking abilities.
  • Effective communication and interpersonal skills.
  • Proficiency in using accounting software and computer applications.
  • Attention to detail and accuracy in financial transactions and record-keeping.
  • Ability to work in a fast-paced automotive workshop environment.
  • Willingness to learn about the automotive industry.
  • Commitment to providing exceptional customer service.
