Job Summary:
A Financial Assistant provides essential support to financial professionals and departments by performing a range of administrative and financial tasks. This role involves assisting with financial record-keeping, data entry, and ensuring accuracy in financial transactions, helping to maintain the financial health and compliance of the organization.
Responsibilities:
1. Financial Record-Keeping:
- Maintain organized and up-to-date financial records and documents.
- Enter financial data into accounting software or spreadsheets.
- Assist in the preparation of financial reports and statements.
2. Invoice Processing:
- Generate and process invoices for clients, vendors, or employees.
- Verify accuracy in invoices and resolve discrepancies or issues.
- Monitor and follow up on invoice payments and outstanding balances.
3. Expense Management:
- Review and reconcile expense reports submitted by employees.
- Track and categorize expenses for proper accounting and budgeting.
- Ensure compliance with company expense policies.
4. Banking and Transactions:
- Assist in bank transactions, such as deposits, withdrawals, and fund transfers.
- Monitor and reconcile bank statements and accounts.
- Handle petty cash and maintain an accurate record.
5. Budget Support:
- Help in budget preparation and monitoring.
- Help analyse budget variances and report findings.
- Assist in developing financial forecasts and projections.
6. Financial Documentation:
- Organize and maintain financial documents, contracts, and agreements.
- Assist with document retrieval and preparation for audits or financial reviews.
7. Administrative Tasks:
- Provide administrative support to financial departments, including filing, scheduling meetings, and managing correspondence.
- Assist in managing financial databases and software systems.
8. Communication:
- Liaise with clients, vendors, and internal departments regarding financial matters.
- Respond to inquiries and help as needed from superiors.
9. Others:
- Any other duties / works as assigned by your reporting superiors.
