Job Summary:
The Office Manager is responsible for supervising and monitoring the work of administrative staff. Managing office budgets, implementing and maintaining procedures/office administrative systems. Organising induction programmes for new employees.
Roles & Responsibilities
· Office Operations: Oversee day-to-day office operations and liaise with partners to ensure well-maintained physical and virtual workspaces.
· Supply and Vendor Management: Negotiate with vendors to ensure cost-effective purchasing of equipment, supplies, and services.
· Human Resource Management: Assist with HR-related tasks, such as developing and updating HR policies and procedures, on boarding new employees, maintaining employee records, and coordinating with employees on personnel matters.
· Financial Management: Collaborate with the finance team to process invoices and track expenses. Maintain accurate records of office expenses.
· Communication Coordination: Act as the point of contact for internal and external stakeholders, including shared calendar and document management.
· Event Planning: Supporting Silvester Legal meetings, conferences, activities, and events (both in person and virtually).
· IT and Technology: Liaise with outsourced service providers regarding technical issues and ensure all office equipment, including computers, is in good working condition and meets all security protocols.
· Team Management: Organise team training and other team events and provide ad hoc support to the leadership team as required.
Requirements
· Diploma graduate / Bachelor’s Degree in Human Resources, Business Administration or relating field
· Minimum 5 years of experience
· Experience in Office Operational, HR, Communication, Event Planning and Regulatory Compliance
· Good time-management and organization skills
· Excellent communication and interpersonal skills, bilingual in both English & Chinese.
