Purpose of the position:

Supporting the Secretariat and Governance responsibilities of the Association. To support the Executive Director in matters relating to governance and risk reporting, in ensuring compliance with legal and regulatory requirements, and in facilitating communication with the Board of Directors, National Committees and Members. To provide general support for the administration needs of the Orginazation National Office.


The Challenges:


Board Secretariat Support

  • Organize and prepare board meetings, including agendas, minutes, and related documentation.
  • Maintain Board records, resolutions, and corporate filings.
  • Facilitate Board communication and coordinate Board and National Committee activities.
  • Maintain accurate and up-to-date corporate records, including articles of incorporation, bylaws, and other legal documents.

Member Relations

  • Manage the Association’s register of directors, officers, and members.
  • Manage communication with Members of the Association, review applications for Membership and maintain the Membership database.
  • Assist in the dissemination of annual reports and support the conference process at the Association’s Annual General Meeting and any Extra Ordinary General Meetings (EOGM) convened.
  • Maintain all records relating to Membership.
  • Work in consultation with Marketing Communications to promote Membership.

Enterprise Risk, Audit and Governance

  • Undertake the Secretariat duties in supporting the Audit and Risk Management Committee, including the preparation of Agenda, reports, discussion papers and presentations, as well as in preparing minutes of meeting.
  • Provide support to the (outsourced) internal audit and risk management functions and act as liaison between any appointed (outsourced) internal auditor/risk management consultants and YWCA.
  • Monitor internal audit or risk mitigation plan and act as the coordinator for arrangements of meetings, discussions and follow-up with internal stakeholders.
  • Coordinate follow-up on any reviews of internal SOPs, including overseeing the organizing of any BCP exercises.


Administrative Support of YWCA National Office

  • Secretariat support to coordinate the meetings schedule for Executive Director.
  • Coordinate daily dispatch and sorting of postal mail.
  • Coordinate authorized signatories for documents.
  • Manning of general hotlines.
  • Manage centralized filing system and overseeing the archival of key documents.
  • Liaise with Internal and External Stakeholders on the use of spaces, including managing any Tenancy and charging of room usage to internal stakeholders.
  • Manage procurement and payment of office stationery, office equipment, refreshment and cleaning supplies for National Office.
  • Supervision of office cleaning.
  • Manage vendors, contractors, suppliers for procurement, quotations and building facilities management.
  • Any other duties as may be assigned from time to time.

What it Takes:

  • Minimum 3 years of relevant experience.
  • Ability to handle sensitive and confidential information.
  • Proficient in Microsoft Office, Word, Excel and Powerpoint.
  • Strong governance mindset.
  • Strong communications and written skills.
  • High degree of multi-tasking and time management capability.
  • Strong organizing and coordination skills.
  • Meticulous and the ability to work independently with minimum supervision.
  • Pleasant nature and strong service mindset.
