Responsibilities

Customer Support:

  • Coordinate the logistics of shipping repair items to and from the service center, including arranging transportation and managing shipping documentation.
  • Serve as the primary point of contact for regional customers seeking repair services.
  • Respond promptly to customer inquiries, providing accurate information about the repair process, timelines, and pricing.
  • Maintain clear and proactive communication with customers throughout the repair process, keeping them informed about progress and any unexpected delays.
  • Receive and review repair item requests from regional customers, ensuring all necessary information is provided.
  • Monitor the receipt of repair items at the service center and ensure they are logged into the system for tracking.
  • Address any issues or concerns that may arise during the repair process, proactively seeking solutions to minimise disruptions.

Documentation and Record Keeping:

  • Maintain accurate records of all repair requests, shipments, and communications with customers.
  • Maintain an organised and up-to-date filing system for all claims and refund documents.
  • Generate regular reports on repair status, turnaround times, and customer satisfaction, providing insights for process improvement.
  • Ensure compliance with data protection and privacy regulations.
  • Assist in the development and maintenance of standard operating procedures (SOPs) related to claims and refunds.

Report Preparation:

  • Generate and compile various reports related to regional service activities.
  • Prepare periodic performance reports for regional service teams and management.
  • Ensure reports are accurate, well-organised, and delivered on schedule.

Claims Processing:

  • Receive, review, and process customer claims.
  • Verify claim eligibility, documentation, and compliance with corporation policies.
  • Communicate with regional service teams and customers to gather necessary information as required.
  • Liaise with relevant departments to resolve claim-related issues promptly.
  • Maintain accurate records of all claims and their status.

Refund Processing:

  • Handle refund requests from regional service teams.
  • Ensure refunds are processed accurately and in compliance with corporation policies.
  • Collaborate with Finance and Accounting teams to facilitate refund payments.
  • Maintain a systematic record of all refund transactions.

Process Improvement:

  • Identify process bottlenecks and suggest improvements to streamline claims and refund processing.
  • Participate in cross-functional teams to implement process enhancements.
  • Continuously monitor and evaluate the effectiveness of existing procedures.
  • Assist in any other duties that are assigned by the Manager.

Requirement

  • ITE certification or equivalent
  • Familiar with Microsoft office, especially Excel Spreadsheet.
  • Excellent problem solving, analytical, communication and organisation skills.
  • Possess positive attitude with drive, initiative, and keen sense of urgency in resolving high-priority issues.
  • Well-organised, independent, and meticulous in administrative work.
