Job Scope
Role A – Shipment Executive:
- Prepare invoices and packing lists upon receiving emails from overseas or locally.
- Respond promptly to all received shipment details.
- Inform the freight forwarder about all shipments within the specified time, or send a reminder email to the respective PIC of the shipment.
- Reply promptly to all emails.
- Check and sign payment entries made by the PIC of Role B.
- Check and sign purchase entries in Focus & MYOB made by the PIC of Role B.
- Check and sign all entries in MYOB made by Role B.
- Cover the job responsibilities of Role B in their absence.
Role B – Admin Executive:
- Enter purchase entries for suppliers in Focus and MYOB simultaneously.
- Prepare payment vouchers/cheques and enter all payment entries.
- Complete all entries within the given time.
- Check overseas shipment packing lists by comparing them with email requests and verify the prices mentioned on the packing list.
- Complete any ad-hoc admin work assigned by HOD.
- Cover the job responsibilities of Role A in their absence.
