XCL World Academy has a vacancy for a position of PYP Coordinator/Dean of Student Life in the Early and Primary Years department, commencing from 1 August 2024.
The IB PYP Coordinator provides the pedagogical leadership, oversees the development, management and execution of a coherent PYP program (Pre-K to Grade 5). This includes monitoring overall student learning and academic performance through goal-setting. Coherence of the Pre-K to Grade 12 programme is collaboratively owned by the school’s IB curriculum coordinators. The Dean of Student Life (Early and Primary Years) is responsible for the leadership of student pastoral and wellbeing within the school through the PSHE programme and support of students and teachers. This includes managing level 1 and level 2 discipline issues, including investigating, recording and communicating to key stakeholders.
Main Responsibilities

- Provides strong pedagogical leadership related to the relevant programme
- Is responsible for the effective teaching and learning dynamics relevant to the programme, and initiates and leads staff development in the areas of programme knowledge, teaching and learning and assessment.
- Oversees the PYP Service as action, and provides opportunities for students to engage in community activities
- Manages all aspects of setting up, generating and publishing quarter and semester academic reports for the relevant programme
- Maintains PYP publications and school records in regard to the programmes
- Ensures that the school meets all PYP regulations and deadlines
- Maintains accurate records of all aspects of the PYP programme
- Manage data and reports on managebac
- Prepares for and communicates with the relevant IB regional office regarding programme evaluation visits
- Establishes a complete record of PYP publications on file
- Contributes to marketing the Pre K to Grade 5 program, within and outside the school
- Initiates and leads formulation and review of relevant school policies related to curriculum, teaching and learning
- Maintains communication with the Head of School, EYPY Principal, administration, faculty and parents regarding information about the programme. This will include holding regular meetings and workshops
- Attends all relevant meetings
- Work closely with the EYPY Principal, PY Counsellors and Learning Support Teachers, contributing to regular monitoring of students’ progress in their Programme of Inquiry
- Proactively initiates intervention measures if student progress has been identified as below standard
- Actively provides input into the timetable to ensure programme requirements have been met
- Along with the EYPY Principal and PY Counsellors, builds and oversees the development of ATL skills supported by the PSHE programme
- Organizes curriculum informative events/events for existing and prospective parents at the start of each academic year as well as throughout the year as needed
- Provides regular parent workshops
- Communicates with the parent community in terms of pedagogical approaches through school communication channels
- Oversees curriculum review and facilitate curriculum development around the themes of international mindedness, holistic awareness, communication and cultural understanding
- Reviews and monitors implementation of PY Home learning policies
- Is responsible for accuracy, consistency and timely communication of all assessments and assessment results through guiding the Heads of Grade / Leaders of Learning and individual teachers in this area
- Use iSAMS and other available systems to extract, format, review and report PYP-related assessment data
- Develops the curriculum for the relevant age group in consultation with the Principal and ensures smooth progression for students between year groups.
- Develops an understanding of other IB school programmes in order to aid articulation of the curriculum
- Liaises with other coordinators to formalize the curriculum in all relevant subject areas, in accordance with requirements. Regularly updates the curriculum and staff with newest developments.
- Supports Heads of Grade / Leaders of Learning and teachers in the development of assessment tools in line with the school’s policy on assessment
- Identifies, facilitates and encourages professional development opportunities in relation to the program
- Includes themselves in the selection of new members of staff, and then to work with the Principal to introduce and orientate them to the programme
- Advises the Principal on programme-related expenses and keeps track of these
- Oversees the PYP Personal Exhibition and provides an annual report on the quality of its implementation
- Oversees the frequency and quality of department meetings for all subjects within respective programme and monitors minutes and action points
- Guides Heads of Grade / Leaders of Learning and individual teachers in monitoring the progress of students by developing effective student records.
- Participates in workshops and seminars to facilitate continuous professional development.

Dean of Student Life
- Formal Case Management (Low level social-emotional challenges)
- Review cases raised
- Identify low level student social-emotional challenges and engage within formal case management
- Receive referrals from SST relating to low level social-emotional challenges
- Organise intervention/case meeting/s where appropriate (students, staff, parents)
- Support and facilitate student mediation
- Explicit instruction and sharing of emotional wellbeing strategies for students and parents/guardians
- Follow-up with parents/guardians to discuss low level social-emotional challenges
- Keep accurate records using school/student management system
- Grade Level Transition
- Assist students with grade level transition cycle (Individual, group)
- Co-lead the coordination of transition programs (Orientation day, KG2 - G1, G5 - G6 experience)
- Support new enrolments joining respective grade levels
- Engage with Counsellors to develop and implement buddy programme
- Identification of students at risk to support appropriate homeroom placement
Person Specifications
- Minimum Degree/Master in Education or related field
- Teacher professional certification specific to hired/placed position
- Minimum 5 years full time teaching in a Primary Years Programme at an established IB school
- Minimum 2 years PYP Curriculum Coordinator experience, or a combination of PYP teaching experience and other relevant leadership experience
- Possess skills and attitudes aligned to the purpose, mission and vision of XCL World Academy (Singapore)
- Need clear eagerness, resilience and understanding to engage and collaborate in the development of a highly aspirational school
- IBEN role relevant to the IB programme is preferred
- Preferred previous experience within a pastoral care and/or grade level role (Homeroom Teacher/ Heads of Grade / Leaders of Learning/Grade Level Coordinator/Team Leader)
- Have a demonstrated commitment to education and learning beyond the classroom.
