Summary of Duties:

The position of Senior Program Assistant is responsible for coordination and administrative services to the Alberta Singapore Office in support of the delivery of its multiple services to clients and stakeholders. This role is under the direction of the Government of Alberta’s Managing Director for the Indo-Pacific, and as a member of Canada’s Trade Commissioner Service(TCS) working in the High Commission of Canada to Singapore.

Provides executive assistant services for the Managing Director and coordination and administrative services in support of the Alberta Singapore Office in the ASEAN Region and in support of the Indo-Pacific Region. Such duties may include:

(1) Coordination of clerical and administrative duties such as making travel and accommodation arrangements, scheduling meetings and appointments, assisting with pre-visit arrangements and hospitality events, as well as the research, collection and/or verification of information for a range of subjects, files and cases related to the Alberta Singapore Office;

(2) Providing advice on administrative matters and the financial management system, and recommending changes to procedures and practices to meet changing or new situations;

(3) Drafting budget submissions, meeting notes or reports, routine correspondence, administrative and progress reports, periodic statistical reports or other documents for the Trade section.

(4) Monitoring budget expenditures for the Alberta Singapore Office ,and tracking, controlling and reporting on the program budget in support of initiatives and program events/projects;

(5) Supporting the research and analysis of trends and developments related to the mandate and objectives of the Alberta Singapore Office

(6) Provides logistics coordination in collaboration with colleagues for business events or high level visits of the Alberta Premier/Ministers, Provincial/Municipal government Officials, and senior executives as required, as well as Officials and senior executives’ visits to Alberta as

(7) May be required to translate documents and/or interpret for CBS staff.
