GENERAL DESCRIPTION:

To liaise with the offshore personnel in ensuring smooth crew changes, apply for visas and arrange for trainings and/or medical screenings.


DUTIES / RESPONSIBILITIES:

- Provide support to the operations department in relation of crew changes which involves travel arrangement, visa applications, hotel accommodations etc. and work permits.

- Liaise with clients/3 party contractors on travel arrangements on required.

- Notify personnel of project dates and crew changes, update individual job mobilization/demobilization database with personnel flight details.

- Maintain offshore personnel database and offshore personnel folder, resume, etc.

- Ensures offshore personnel arrive on vessel on time with the required documents.

- Ensure offshore personnel basic/client training requirements and medical certificate is up to date.

- Monitoring / tracking Offshore Personnel training/application according to the training matrix and maintaining the ROV MTCS competence assessment and training records.

- Controlling, distribution and maintaining the IMS documentation (e.g. IMS Manual, ROV Operations Manual, IMS Procedures, IMS Forms, etc.)

- Maintaining IMS Record Register

- Upload APAC SharePoint GHG Data Collection – Facilities

- Reporting the monthly HSE statistics to Global QHSE

- Assisting in Global Management Review meeting slide preparation.

- Provide corporate office the updated personnel movement for Helix Training

- Work with the Operations Manager as and when required.

- Other duties as assigned.


JOB SPECIFICATION:


Qualifications

- Min. GCE ‘O’ levels/ Diploma in any discipline


Experience

- At least 2 years of relevant experience in managing crew changes in a oil & gas industry / travel agency

- Oracle experience is an added advantage


Special Skills / Knowledge

- Ability to multi-task

- Possess good communication and organization skills

- Proficient in Microsoft Office

- Proficient in written and spoken English

- Experience in applying for Indian MOHA will be an added advantage

- Must be willing to respond to urgent last minute change of travel arrangements
