The incumbent is the lead administrator to support the faculty to plan, coordinate and operationalise the Phase III Family Medicine Posting & IV Electives. This role will establish, review and streamline processes to ensure administrative excellence and continual improvement in programme management.
The responsibilities of this role are:
- Lead a team to plan, co-ordinate and operation-alise the Phase III Family Medicine Posting
- Plan for all students to have placements at the various teaching sites: polyclinics and private Family Physicians
- Engage Adjuncts and plan for their involvement in campus-based teaching including Foundation Week, Simulated Clinical Training sessions, End of Posting Tests and Clinical Exams
- Lead team in organising all teaching materials before they are uploaded onto Learning Management System (LMS) in a timely fashion for tutors and students
- Support faculty in preparing the Posting Guide. Review & update documents for student (which includes Articles, Assessment Forms, Fundamentals, Essentials, and Compulsory Items Guide) on LMS before the start of Academic Year
- Collate Student Feedback requests from students
- Lead in the planning and implementation of posting’s End of Post-ing Tests and OSCEs
- Compile marks of all assessment components and ensure strict compliance with School’s standard operating procedures to achieve zero exam error
- Oversee the planning, coordinating and operationalising of Phase IV Family Medicine Electives
- Plan and organise outreach events to attract students’ interest in taking up Phase IV Family Medicine Electives
- Be attuned to School’s policies and standard operating procedures related to curriculum and assessments. Ensure that department’s processes are aligned and, when needed, develop workflows which may be unique to department needs
- Support in the process of appointing and renewing Adjuncts. Track their deliverables, provide data and reports to aid in manage-ment’s decision making
- Secretariat for bimonthly undergraduate education meeting
- Other Undergraduate Education Work
The ideal candidate will need to have the following qualities and experience:
- Bachelors degree in Business Management / Administration
- Demonstrated leadership skills in managing small teams with strong sense of initiative
- Experience in planning, managing and implementing undergraduate pro-grammes, from conception to completion, in a University setting
- Resourceful with a creative ability to make things happen and solve problems
- Meticulous with a good eye for detail
- Excellent communication skills: both written and oral
- Strong team player with a high degree of professionalism and initiative
- Proficient in Microsoft Office Applications (Word, Excel and PowerPoint)
