They are looking for a Customer Service Executive to join their expanding business on a one-year contract. You will be responsible for export order management of all product groups as well as orders for the Japanese market. As such, the successful applicant should be proficient in Japanese. This dynamic role will see you working closely with the regional sales directors, sales representatives, global supply chain team and Finance. Responsibilities
Sales and Trial Order entry
- Receive customer purchase orders via email or EDI
- Sales order entry
- Liaison with customers and sales team on stock availability and ship-dates
- Backorder management to ensure partial shipment consolidation for customers
- Perform end-of-day checks and follow up to ensure that all orders and transactions are in the correct status by the end of each working day
- Review and verify import tax and duties invoices from local customs broker
Returns and credit handling
- Process warranty claims received from partners and global support team according to policy
- Process credit claims according to policy and sales director approval
Logistics
- Liaise with the overseas warehouse partners on order handling and exceptions
- Liaise with local Japan and overseas freight forwarders on deliveries and returns, including cross border shipments, per incoterm
Requirements
- Business level Japanese proficiency (mandatory)
- Minimum 3 years of relevant customer service experience
- Good working knowledge of inventory availability, out of stock situations and backorder management
- Working knowledge of incoterms and export shipping documentation
- Experience working with external freight forwarders and overseas customs brokers
- In-depth knowledge of commercial tools, such as ERP systems and OTC processes
- Ability to work independently and be self-motivated
- Proficient in Microsoft Office skills – Excel, Word and PowerPoint
- Good working knowledge of SOX compliance and procedures
- Excellent communication skills
- Excellent phone manners and high level of service and customer orientation
- Ability to work well under pressure and tight timelines
