Job Purpose
The main job responsibility for this position is the accurate and efficient registration and administration of tests orders and ensure test reports are sent to clients within set turn around time.
Responsibilities
- Answer and route incoming telephone calls.
- Liaise with the despatch team to ensure smooth collection / delivery of specimens and documents from destination to destination.
- Process reports and bills.
- Manage and maintain general Inventory.
- Troubleshoot problems that arise with assistance and guidance from the immediate Reporting Officer.
- Print, collate or type all Laboratory and administrative reports, invoices and administrative reports related to the operation of the lab.
- Tracing of Laboratory results, answering or routing enquiries from clients, doctors or patients.
- Perform order entry and carry through with the process of order entry
- Perform billing functions e.g. checking audit reports, issue credit notes, checking that charges to clients are correct.
- Assist immediate Reporting Officer in the training and orientation of new staff at the various job tasks.
- Assist other client service staff in resolution of problems.
- Perform special assignments when need arises
- Any other duties as assigned from time to time.
Key Performance Indicators
- Accuracy and speed of collation of reports/invoices.
- Quantity, speed and accuracy of order entry/opening or sorting samples/labelling of samples.
- Answering of queries / follow-up with clinic.
- Accuracy and completeness in scanning documents for archival.
- Competency of staff.
- Manage inventories/supplies.
- Checking of documents.
Skills, Knowledge and Abilities
- Computer literacy e.g. Microsoft Office
Education and Experience
- Completed Sec 4 / GCE āNā Level / GCE āOā Level or has sufficient combination of education and experience.
- Fluent English reading and writing skills required.
- Minimum two (2) years of working experience preferred
