The secretary shall conduct high-level administrative support and assistance to Chief Administration Officer (CAO), Chief Financial Officer (CFO) and Corporate Planning & Coordination Department.
Responsibilities and Accountabilities:
- Manage the CAO and CFO’s calendar, scheduling meetings, appointments through close communication with all stakeholders including but not limited to external stakeholders, ensuring efficient time management.
- Coordinate meetings and conference calls, preparing agendas and distributing materials.
- Manage travel arrangements, booking reservations, coordinating logistics, and handling claims reimbursements.
- Research and gather information on various topics to support Management’s decision-making process.
- Liaise with internal and external stakeholders located in Japan or in Asia and Oceania Region.
- Proactively anticipate the CAO and CFO’s needs and take initiative to address them independently.
- Support the Corporate Planning & Coordination department to draft and prepare professional documents, presentations, or reports as assigned.
- Organize, plan and perform other administrative duties as assigned.
Qualifications and Experience:
- Minimum 2 years of working experience as secretary or in an administrative position.
- Maintain confidentiality of all sensitive information and documents.
- Japanese language proficiency is required to communicate with Japanese stakeholders or organizations such as Japanese Association and Japan Chamber of Commerce and Industry. The Japanese language proficiency needs to be at the level of being able to communicate effectively to support business needs (spoken and written).
- Good analytical and problem-solving skills and able to work in a fast-paced environment.
- Have strong initiative and self-motivation with good learning mindset.
- Strong attention to detail and good analytical skills.
- Proficient in Microsoft Office (Word, Excel, Outlook), experience in SAP is an advantage.
