RESPONSIBILITIES:
- Manage the flow of incoming and outgoing mails, packages, deliveries, document circulation, and visitor reception.
- Responsible for overall office operations, ensuring a tidy and comfortable workspace.
- Administer office supplies, office equipment, and pantry inventory.
- Oversee renovation works, facilities services and maintenance activities.
- Coordinate with vendors, contractors, and service providers to facilitate smooth office operations.
- Handle business trips, including hotel booking, temporary accommodation, and the application process for visas and work permits.
- Manage security door access, create/delete access card user profiles, and provide support for after-hours door access.
- Collaborate with cross-functional teams to ensure a seamless workflow.
- Organize various office activities such as meetings, event planning, and town hall bookings.
- Ensure that operations adhere to established policies and regulations.
- Undertake any other duties or projects as assigned.
REQUIREMENTS:
- Minimum 1 to 2 years of administrative experience in the bank.
- Possess some experience in managing renovation projects and overseeing facilities.
- Work well both independently and collaboratively within a team.
- Exhibit strong interpersonal, written, and communication skills.
- Display excellent organizational and time management abilities, with a knack for multitasking and prioritizing tasks effectively.
- Demonstrate meticulous, analytical, and organized qualities, coupled with resourcefulness and self-motivation.
- Show maturity, adaptability, and the capacity to interact well with stakeholders at all levels.
- Highly proficient in Microsoft Office applications.
