GRAND VISION DEVELOPMENT is a newly established Singapore branch of a prominent player in the import and export industry, specialising in garments, needles, and textiles. With a headquarters based in China, the Company has decided to expand operations to Singapore to serve the growing client base in the region. Embarking on this exciting journey, the company is seeking a dynamic and organised Administrative Coordinator to join the Singapore team and play a pivotal role in overseeing the administrative operations at the initial stage.
Responsibilities:
1. Communication and Coordination:
- Serve as a point of contact between the Singapore branch and the headquarters in China.
- Facilitate effective communication within the team and across departments.
2. Documentation and Record Keeping:
- Manage and maintain accurate records of import/export documentation.
- Ensure compliance with local regulations and company policies.
3. Travel and Logistics:
- Coordinate travel arrangements for team members.
- Oversee logistical aspects related to shipments and deliveries.
4. Calendar Management:
- Assist in scheduling and coordinating meetings, both internally and externally.
- Manage calendars for key team members.
5. Financial Administration:
- Support with basic financial tasks, such as expense reporting and invoice processing.
- Work closely with the finance team to ensure accurate financial records.
6. Office Management:
- Maintain a well-organised and efficient office environment.
- Manage office supplies and equipment to ensure seamless day-to-day operations.
Requirements:
- Proven experience in administrative roles, preferably in the import/export or related industry.
- Strong organisational and multitasking skills.
- Excellent communication and interpersonal skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
- Knowledge of import/export documentation and regulations is a plus.
- Ability to work independently and as part of a team.
- Fluency in English and Mandarin (for handling Mandarin-speaking clients and business associates).
Education and Experience:
- Diploma in business administration or a related field.
- 3+ years of relevant administrative experience.
Employment Terms:
- 6-months contract
- Work schedule: Monday to Friday 9:00-18:00
- Workplace Location: Singapore, the Company is still looking for a permanent office premise, so in the beginning, you will be working remotely)
- Annual Leave: five (5) days.
- Sick Leave: consecutive with MOM recommendations.
