Duties and Responsibilities – Deputy Department Manager
(Distribution/Warehouse)
Basically, your duties as Deputy Department Manager are as follows:
Distribution and Shipping
1. Responsible for liaising with vendor/s regarding all activities connected with movement
of goods.
2. In-charge of the preparation, processing and distribution of shipping documentation, insurance, customs clearance, etc.
3. Liaise and co-ordinate with internal and external parties on matters pertaining to distribution, warehouse and other related issues.
4. Plan and manage the warehouse annual budget.
5. Prepare the monthly distribution and warehouse operating expenditure reports.
6. Oversee and ensure that all documents, eg. Purchase Order, Return forms, MRF
forms are promptly submitted to Distribution department.
7. Ensure all suppliers abide to company’s rules and regulations during receiving.
8. Monitor the traffic flow at the loading bay in order not to cause any inconvenience.
9. To conduct meetings (weekly or bi-monthly) for staff feedback regarding distribution, warehouse
operation and home delivery.
10. To ensure prompt and efficient Home Delivery services.
11. Monitor and co-ordinate the inventory stock control movement.
12. To oversee the following operations :
a. Printing and submission of B1 and B2 documents to Retail Managers’ attention
b. Submission of diskettes for generation of SKU and price-tags.
c. All merchandise to be price-tagged before sending to department store.
d. All merchandise to be re-packed into Takashimaya’s carton/s according to MD’s request.
e. All merchandise to be delivered on time.
Warehousing
13. Responsible for liaising with vendor/s regarding all activities connected with warehousing operations.
14. Day-to-day running of warehouse to ensure efficient usage of goods, proper stock control and rotation, movement of goods and proper price-tagging of merchandise.
15. Ensure that all safety measures are complied with the requirements of the Workplace Safety & Health (WSH) Act.
Staff Management
16. Supervise the department’s supervisors and store assistants’ work performances and job functions; to ensure that all staff discharge their duties correctly and smoothly in accordance to department’s system and company’s regulations.
17. Maintain discipline in the department (including the warehouse)
18. Plan work schedules and apportion tasks and responsibilities.
19. Introduce applicable work procedures to improve efficiency.
20. Any other job-related duties as and when assigned by the company.
