The Volunteer Management & Partnerships (VMP) Executive is responsible for recruiting and engaging volunteers to further the mission of poverty transformation with- in empowered communities. Aligned with the transformational outcome of contributing back and goodwill exchange, he/she will collaborate with the beneficiaries (also known as members), residents and other diverse external stakeholders to garner assets to enable the families towards self-reliance.
He/ she will manage individual volunteers and other diverse volunteer groups to support them in their volunteering engagement and to promote partnerships with staff and the families within our service boundary area to enhance the kampung spirit of community giving and supporting one another.
He / she will also collaborate within and across teams to identify and network for sharing of required resources to support families in their journey towards financial independence and improved family and psycho-social functioning.
Volunteer Sourcing, Onboarding and Placement
- Recruit suitable and interested volunteers from various sources (outreaches, contacts, online, community & other organisations etc).
- To network and build relationships with potential partners that have many volunteers
- Promote and raise awareness of volunteering opportunities at South Central Community Family Service Centre (SCC) that align with the centre’s mission
- Carry out suitable screening of potential volunteers
- Provision of volunteer orientation based on volunteer handbook or information about SCC including volunteering policies and volunteer rights
- Match volunteer requests and interests with the appropriate volunteering opportunity and needs of the organization using a standardized intake and interview protocol.
Volunteer Engagement, Support & Relationship Management
- Manage grievances and resolve conflicts in relationships between volunteers and internal and external stakeholders
- Engage and build relationships with the volunteers while attending to their welfare during the period of their volunteering
- Obtain volunteer feedback and assist in changes in volunteering activities
- Organize training and development sessions for volunteers.
- Produce schedules for volunteering
- To communicate appropriate programme objectives to volunteers as required
- To provide guidance to volunteers on executing effective programmes
- Monitor and evaluate volunteering activities and sessions
- To develop growing team of volunteers to support various programmes
- To identify and retain committed volunteers
- Appreciate volunteers (collaborate with platform owners) or organise volunteer appreciation initiative (s).
Plan Volunteering policies and develop volunteering opportunities
- Collaborate across teams to support development of suitable and meaningful volunteering opportunities to support the families
- Establish partnerships with external stakeholders to develop a volunteer base
- Maintain appropriate record and efficient tracking and utilisation of volunteer information and assignments in a database
- Promote volunteering internally and externally by sharing opportunities for volunteering
- Evaluate the risks associated with volunteering positions and take appropriate action to mitigate the risks associated with the activity
- Utilise social media and other marketing platforms to promote volunteering in SCC
Supporting Family Partnership Platform & Stakeholder Management
- To recruit, engage and maintain Family Partners (FP) and match suitable FPs to identified members.
- To follow up with FP and members on the continued partnership and provide ongoing support
- Managing stakeholders who are involved as volunteers/ Family partnership so as to also protect the well interests of our members.
Develop, execute and manage volunteer-driven programmes
- Manage current programmes
- Develop and plan new programmes to meet the needs of members/community.
- Timely execution and programme management.
- Programme evaluation and review.
- Communicate effectively with members, volunteers and partners to ensure programme effectiveness.
Requirements
- Diploma or Degree in a relevant discipline, preferably social science
- Relevant experience in volunteer management preferred
- People & Team oriented: The ability to work with different groups; families, partners
- Value and Worth of Communities: Believe that people and communities have intrinsic strengths and resources that can be harnessed for the betterment of family and community life;
- Communications: Excellent oral, written and inter-personal communications skills in dealing with individuals, groups and community at all levels
- Knowledge: Rich in community and social service resources for volunteering opportunities and partnerships.
- Stakeholder Focus and following up: Identifying and responding with quality service to all stakeholders while monitoring and making necessary modifications to assignments in a fluid environment
- Engagement and Facilitation: The ability to engage/ influence others to take ownership in an interest area while facilitating conversations amongst diverse groups for continual co-creation, relationship building and collaboration.
