We are now seeking a Team Assistant to provide support to our C-suites' Office.

Responsibilities:

  • Complete a variety of administrative tasks for the C suites' Office including; managing an extremely active calendar of appointments, composing and preparing correspondences, scheduling meetings and interviews, and compiling documents for meetings, as necessary
  • Be on track and well informed of upcoming commitments and events, attend meetings when required
  • Research, prioritize, and follow up on incoming issues and concerns addressed to the C suites' Office, including those of a sensitive or confidential nature and determine appropriate course of action
  • Act as the first point of contact, greeting visitors, dealing with correspondence and phone calls
  • Proactively plan, coordinate and ensure all schedules are followed
  • Arrange travel, accommodation and transport pick-up
  • Ensure smooth communication between the C suites' Office and internal/external stakeholders
  • Handle matters expeditiously and complete projects with deadline pressures
  • Create meeting agendas, organize meeting materials, and collate reports
  • Handle filing of business expenses
  • Exercise absolute discretion at all times
  • Conduct office management duties and handle logistics when required

Requirements:

  • At least 2 years of experience in a Secretarial, Personal Assistant or Executive Assistant role
  • Excellent written and verbal communication skills
  • Highly detail-oriented with a critical degree of accuracy
  • Strong organizational skills
  • Exhibit good interpersonal skills and the ability to communicate with all levels of the organization
  • Able to exercise good decision-making and problem-solving skills
  • Tech-savvy and proficient in Microsoft Office (Outlook, Word, Excel, and Power Point)
  • Demonstrated ability to work under pressure in a fast paced environment
  • Able to maintain professionalism and discretion at all times
  • Self-starter and adaptable
