What this job involves: Our Leasing Coordinator is an integral member of our Office Leasing Advisory team and is responsible for creating presentation decks for clients, managing Matterport scans, streamlining work processes, and handling data administration tasks. This role involves coordinating with brokers, vendors, and landlords, updating market data, and maintaining various databases. The coordinator will also assist with administrative tasks and support the team in achieving its goals.


What your day-to-day will look like:


Presentation Deck Creation

  • Create presentation decks for clients, including Potential Options and Location Mapping.
  • Extract and present track record information to support client presentations.
  • Develop competitor mapping slides to provide valuable insights.

Matterport Coordination

  • Act as the main coordinator between brokers, vendors, and landlords to schedule Matterport scans.
  • Utilize the Matterport eForm for streamlining communication and documentation.
  • Manage and update the list of Matterport scan links to ensure accuracy and accessibility.
  • Share Matterport scan links with the Online Listing Administration (OLA) team upon request.
  • Edit new Matterport scans as needed before sharing them with landlords.
  • Verify monthly invoices before forwarding them to the payment processing team.

Database Maintenance and Streamline Work Processes

  • Develop and maintain a master list of property buildings, which serves as a time-saving resource for creating option decks.
  • Create and manage a tracking folder and excel list to monitor and save monthly vacancy listings.
  • Design various co-working deck formats, stacking plan formats, and PowerPoint slides to present information more effectively.
  • Create data analysis reports of past years' transactions using pie and bar charts as requested by the AMT (Account Management Team).
  • Collect data from brokers to ensure accuracy and timeliness of information.

MarketLink Data Administration

  • Possess comprehensive knowledge of the MarketLink tool and provide assistance to brokers and new users when needed.
  • Update availabilities, stacking plans, building information, and occupancy rates in the MarketLink system.

Other Responsibilities:

  • Update the Landlord CRM File regularly.
  • Maintain a track record of business wins.
  • Assist in booking meeting rooms.
  • Create and maintain a Negotiation Tracker to support the team's negotiation efforts.


Required Skills and Experience:

  • Proficient in Microsoft Office Suite, particularly PowerPoint, Excel, and Word.
  • Familiarity with Matterport technology and related software will be an advantage
  • Strong attention to detail and organizational skills.
  • Excellent written and verbal communication abilities.
  • Ability to work in a fast-paced and deadline-driven environment.
  • Proactive problem-solving and adaptability.
  • Prior experience in commercial real estate or related industry is preferred but not required.
