The Receptionist will be responsible for delivering exceptional customer service assistance for Invictus International School (Bukit Timah). He/she will provide an overall welcoming environment and handle essential general administrative tasks.
The Receptionist will be required to possess a friendly disposition, organized and be comfortable with multi-tasking.
Responsibility:
- Maintaining of student records, which will include data capturing on the school’s management system and maintaining hard-copy files as the case may be
- To update daily staff attendance list
- Processing of daily school correspondence, incoming and outgoing, telephone and email
- Following up on absenteeism of students and communicating information to staff
- Handling document preparation and photocopying
- To liaise with the principal in the maintenance of the school’s diary and be in a position to give callers accurate information about day-to-day events at the school
- To assist Marketing & Admissions in attending to parents’ enquiries over telephone and recording of school tours data
- Respond to telephone calls and direct them to relevant parties at school
- Management of visitor log
- To liaise with parents, students and staff to ensure smooth process in ordering meals. includes communicating to the School Secretary of orders.
- To liaise with the school’s designated bus provider, ensuring accurate upkeep of student lists/bus allocations. This includes communicating with parents, students and staff.
- To inform staff of changes to student arrangements such as bus/car/walk-in
- To receive delivery of supplies and to direct relevant receipt notes to the accounting department
- To check, prepare and issue of stationery and uniform orders to parents/3rd party daily
- Any ad-hoc tasks as assigned by Principal/Deputy Principal
- To cover duties in the absence of the School Secretary/School Administrative Executive in case of absence
Job Specification:
- Minimum diploma in any field
- Minimum 2 years of experience in an administrative role
- Experience working in a multi-cultural and international environment
- Excellent customer service skills, communication and interpersonal skills
- Proficient with Microsoft Office (Word, Excel, PowerPoint) and Office 365
- Ability to take initiative to drive innovative and collaborative initiatives to contribute to the growth of the school
