Job Description
· Providing secretarial, administrative, and personal support to MD.
· Conduct weekly diary meeting with the MD to discuss upcoming engagements, invitations, and other requests (e.g. meeting appointments, travel schedule, and travel arrangements).
· Schedule and manage meetings on behalf of MD, between him and his direct reports and the committees and group to which he is a member.
· Assist MD to follow up on tasks assigned to subordinates and managing MD’s appointment.
· Filter general information, queries, phone calls, and invitations to the MD by redirecting and taking forward such contacts as appropriate.
· Prepare correspondence on behalf of the MD, including the drafting of general replies.
· Prepare meeting minutes and follow up action plans after meeting as and when required.
· Maintain proper filing system for both electronic and hard copies filing.
· Prepare letters, memos for an announcement to staff and related parties.
· Support and assist in the planning of company activities.
· Assist on administrative duties of HR process (e.g. claiming of the levy, purchase of air-tickets, pass application, renew work passes).
· Maintain records and monitor company fleet vehicles, road tax renewal, etc.
· Provide administrative support to the department head for establishing the department structure and system, establishment of policies and procedures. Assist in the creation of necessary forms, documentation process presentations & systems where necessary.
· Other ad-hoc assignments as assigned.
Requirements:
· Minimum Diploma qualification.
· At least 3 years of relevant experience.
· Proficient in MS Office (MS PowerPoint, MS Excel, MS Word).
· Strong interpersonal skills in a professional and responsive manner.
· Demonstrate ability to handle work professionally, independently, and efficiently.
· Possess effective organizational and follow-up skills, attention to detail.
· Experienced in office administration.
· Good inter-personality skills, grooming & communication.
· Ability to manage complex and highly confidential information with discretion and integrity.
· Immediate starters preferred.
