Administrative Executive (Operation and Project)

Job Responsibilities:

Executive Support:

  • Manage calendars and schedules for COO and DCOO, prioritizing appointments, travel arrangements, and meetings.
  • Prepare meeting agendas, draft minutes, and follow up on action items.
  • Handle confidential documents and information with discretion and professionalism.
  • Anticipate and proactively address the needs of Senior Management.

Project & O&M Management Support:

  • Provide comprehensive administrative support to the Project and O&M Management team, including scheduling meetings, coordinating communication, and managing project documentation.
  • Assist with report generation, and data analysis.

ISO Recertification:

  • Support the ISO recertification process by revising and managing relevant documents.
  • Track document versions and maintain accurate records.
  • Assist with internal audits and external assessments.

Greenhouse Gases (GHGs) Emissions Data Collection:

  • Drive collection of GHGs emissions data from operating countries (Malaysia, Vietnam, Indonesia, Singapore, Cambodia, and Thailand).
  • Liaise with internal stakeholders on emissions-related matters.

Additional Duties:

  • Any other ad hoc duties as and when delegated by the Project or O&M team or such other officer(s) as the Employer may designated.
  • Support with coordinating office activities and maintain a professional work environment.
  • Perform other administrative tasks as assigned.


Job Requirement:

  • Minimum Diploma in any field
  • Minimum 3 years relevant work experience
  • Experience working in the renewable energy sector or international business is a plus.
  • Fluency in English is required; additional Southeast Asian language proficiency is a plus.
  • Understanding of ISO standards and certification processes is required
  • Excellent communication and interpersonal skills, with the ability to build positive relationships at all levels
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and project management software
  • Ability to work independently and as part of a team
  • Strong attention to detail and accuracy
  • Proactive and resourceful problem-solving skills
