Our Client, in Automotive Industry located in Central has opening for Secretary.

Responsibilities:

  • To prepare tax invoices, debit notes, credit notes and bank deposits.
  • Manage calendar and coordinate meetings for the Executive Chairman.
  • Coordinate day‐to‐day activities and agendas of the Executive Chairman.
  • Make travel arrangements for the Executive Chairman and his family. This includes flight, accommodation, transfer, visa, prepare itinerary etc.
  • Draft letters, emails, and text messages to the business associates on behalf of the Executive Chairman.
  • Assist on itinerary, accommodation bookings, pick‐ups for VVIPs from overseas.
  • Making lunch/dinner reservation, and other appointments such as medical, haircuts, dogs grooming, reflexology etc.
  • Manage the Executive Chairman Office and storerooms at various locations.
  • Source and order collection of wines, hard liquors, mobile phones, luggage, corporate gift for VVIPs, magazines, medical supplies, equipment, personal items etc. This includes update the inventories of all items.
  • Arrange gifts for business associates such as CNY hamper, mooncakes, birthday gifts etc.
  • Manage distributions/deliveries of corporate calendars for the Executive Chairman.
  • Manage the logistic of MISC items to/from various locations/oversea offices for the Executive Chairman.
  • Assist on event management such as CNY lunch at Executive Chairman’s house, D&D, birthday celebration of the Executive Chairman, F1 and office opening.
  • Apply and manage credit cards for the Executive Chairman and his family.
  • Manage payments/claims for the Executive Chairman and his family.
  • Manage personal fixed deposits with the bank.
  • Manage the private properties owned by the Executive Chairman, this includes renovations, mortgage loan, home insurances, tenancy matters, monitor rentals, sourcing of home appliances, arrange repair works etc.
  • Manage the personal insurances of the Executive Chairman and his family.
  • Manage displays/awards, corporate/birthday gifts received.
  • Manage all equipment/electronics items owned by Executive Chairman, this includes arrange for collections/deliveries, warranty registration and gift redemption.
  • Manage club membership held by the Executive Chairman and his family.
  • Register cars with condos/malls/clubs for the Executive Chairman and his family from time to time.
  • Arrange bank transfer/cash payment for the Executive Chairman’s domestic helpers.
  • Disseminating signed documents.
  • Handle incoming and outgoing mail.
  • Managing database, scanning of documents for e‐archiving, filing of documents.
  • Implement/maintain procedures and administrative systems.
  • Manage driver’s schedule and allowances.
  • Liaise with contractors on Executive Chairman’s office setup, repair works.
  • Manage the tea lady and cleaner to ensure the cleanliness/tidiness of the Executive Chairman’s office and the VVIP lounge area.
  • Provide support and any other miscellaneous tasks assigned within the Executive Chairman’s office.
