Job Title

Order Entry and Logistics Coordinator


Summary:

Candidate will be responsible for the triage and processing of Service Orders. These Service Orders are related to the coordination of new equipment installations for commercial vessels that have global sailing patterns.

The ideal candidate may have experience working for a Fleet Manager or a Maritime hardware supplier coordinating projects/services on vessels. Or comparable work experience in Field Service Operations for land-based telecommunications.


Essential Duties and Responsibilities:

Include but are not limited to the following:

  • Triage and process Service Orders for KVH managed installations (Asia Pacific Region)
  • Service Order entry into Baan ERP system
  • Coordinate logistics requirements with Asia Pac Sales managers, customers or consignee, via phone and email, to ensure proper delivery of product
  • Verify shipping and consignee/forwarding agent information
  • Coordination with vessel sailing schedules
  • Determination of proper shipping method
  • Freight quotes with proper of Incoterms
  • Provide needed shipping documentation for country specific Customs clearance
  • Liaise with KVH functional groups as needed
  • Sales Department – receiving, checking and processing new orders
  • Finance Department – unblock orders and receive proper pre-payment from customer as necessary
  • Shipping Department – ensure proper delivery terms and deadlines are communicated
  • Coordinate service operations including scheduling and distribution of work for technicians, utilizing Salesforce to generate and manage work orders.
  • Responsible for updating Salesforce with customer and vessel information
  • Enter RMA orders (Return Materials Authorization) and follow up on returns related to Decommissioned units.

Qualifications/ Prerequisites:

  • Minimum high school diploma or GCE “A” Level or equivalent required; Diploma.
  • Fresh Graduates are welcome
  • Demonstration of attention to detail and accuracy to ensure quality of subsequent processes
  • Prior experience with international logistics company
  • Prior experience working in a CRM system for case management is an added benefit (Salesforce)
  • Prior experience working with an ERP system for inventory management is an added benefit (Baan)
  • Ability to Problem solve, working independently and as part of a team
  • Attention to detail and accuracy is a must
  • Good command and knowledge of English with effective communication skills, responsible, reliable and an independent worker.

Salary commensurate with qualification and work experience
