Job Description:
The Admin Executive is a member of the Corporate Services Dept team that is required in performing office administration duties at HQ level for the preschools under HQ to ensure that policies, data etc are regularly updated and accurate in order for operations to function smoothly. Responsible for the full spectrum of HR & Admin function in recruitment, training, payroll, compensation and benefit and other HR administrative duties and basic Secretarial work.
Administration:
- Perform secretariat and other administration related matters. (for Board meetings and Headquarter level meetings)
- Liaise with Government regulatory agencies and assist in submissions such as MOM, ACRA, IRAS, ECDA, SSG-EPJS (for absentee payroll) etc.
- File, organise and manage HQ and shared repository information across the centres
- Prepare letters and certificates
Human Resource:
- Manage data and information relating to personnel; ensuring staff personal particulars are updated
- Monitor annual awards, recognition and promotion – prepare ceremonies (if required), Certificates, Letter of Appointments, adjustment in payroll etc.
- Recruitment/Hiring
- Handle work pass submission
Finance:
- Prepare annual budget and monitor budget utilisation throughout the Financial Year to ensure that the expenditure is within the approved budget.
- Administer claims and reimbursements from Preschools and ensure timely submissions to HR department for monthly payroll administration.
- Be familiar with the Easy Pay software
- Submit the payroll files for each month’s payroll with the claims from centres and HQ
- Administer claims and invoices for the Preschools/Headquarter and ensure weekly timely payments
- Be familiar with the procurement process in accordance to the Finance Manual
- Collate the weekly submission of forms from the centres for endorsement and approval
- Upload payment in DBS Ideal on weekly basis and request from bank signatories to approve the payment files
- Inform the respective centres when payments have been made
- File and organise the approved forms in shared folder under respective centre
- Ensure centres are spending within budget. Flag out inappropriate processes
- Assist in preparation and submissions for processes and documentation for internal/external audit.
- Reconcile payments received
Requirements:
- Singaporean only
- Min Diploma in Business or Office Administration or equivalent
- Minimum 2 year experience in an administrative or HR capacity
- Good interpersonal skills.
- Knowledge of preschool industry and accounting would be useful
- Able to start immediate
