International law firm is seeking suitable candidates for full time role to undertake shared responsibilities to perform Front of House service, office and business/marketing, secretarial, facilities support
Responsibilities
Welcome and assist clients and visitors.
Manage meeting room bookings and ensure they're well-settled
Keep front office clean and orderly.
Help with transportation arrangements.
Coordinate audio-visual needs for meetings.
Arrange catering for in-house events.
Handle mails, documents including couriers.
Assists with COVID-related protocols
Assist with administrative and logistic tasks.
Set up workstation and manage access passes.
Support office activities, coordinate events and catering
Assist in local business development initiatives
Manage billings of vendors.
Update BD related spreadsheets.
Assist with purchase of books and periodicals and maintenance of law library
Manage office maintenance, pantry needs, stationery and printing supplies
Liaise with global facilities teams.
Handle post office runs, faxes and couriers.
Manage file storage and retrieval.
Setup workstation for new joiners.
Execute bank runs and maintain courier schedules.
Process invoices, manage petty cash, expense claims and safeguard cheques
Analyze and report weekly courier statements.
Liaise with court clerks and process servers.
Assist secretaries with InterAction,
Provide stand in secretarial support during client meetings.
Requirements
Proven relevant work experiences in full spectrum of office admin, reception, secretarial, marketing support
Must be committed, equipped with essential skills, positive disposition and a team player
Familiar with fast paced and busy environment and ongoing workloads in law firm environment.
Good communication skill with ability to work with dialect speaking Tealady.
Proficient with MS word, Excel spreadsheets
Mon to Fri, upto 20 days AL, medical/dental/OT, 13th month, life insurance
Salary from $3,000 to $4,000/month
