General job scope
- Provide support to the equity sales & research departments in organizing and executing Deal or Non-Deal Roadshows, Analyst Marketing, Corporate Day, conference and other administrative tasks.
- Arrange logistics including meeting venue bookings, ground transportation, presentation material, catering, AV requirements and any ad-hoc request.
- Administer meetings including setting up virtual meeting platform, hybrid/physical meetings to ensure smooth flow of meetings.
Detailed job scope
- Non-Deal Roadshows, Analyst Marketing & any related events (ECM or IB) Virtual Events (Pre-event)
- Request for necessary and relevant information for every roadshow.
- Upload campaign on to WeConvene.
- For virtual meeting, set up Zoom, for Hybrid meeting use Microsoft Teams.
- Send email and calendar invite to all global sales using standard notification email format.
- Liaise with corporates/analyst for presentation decks pre-event.
- Send reminder to all attendees prior to event.
- Send schedule and or subsequent updates to corporates / analysts.
- AV set up testing for physical/hybrid meeting.
Virtual Events (During Event)
- Log in at least 15 min in advance to test the corporate’s connection and screen sharing.
- Closely manage waiting room and update speaker on attendees waiting.
- Start the call timely - admit registered attendees and update attendance on WeConvene.
- Rename attendees to reflect their names and company names.
- Moderate Q&A session, if required.
Physical Events – NDR / Corporate Day / Site Visit
- Logistic arrangement ie booking of hotel, transport, lunch venue and food ordering
- Onsite set up ie registration table, signages, meeting room and refreshment set up.
- For conferences, source for speaker and participant gifts.
- Keep track of all expenses for reimbursement arrangements.
- Prepare necessary AP payment forms to be uploaded into the finance folders for payment process.
Conference
- Prepare and seek budget approval for proposed conference / corporate day.
- Source for hotel / meeting venues.
- Work with Marcom on marketing material.
- Set up conference website for client and corporate registration on MeetingCEO.
- Keep track and answer queries from client and corporates leading up to event days.
- Send email updates to global sales on sign up and push for more meetings for corporates who has low demand.
- Keep track of all expenses leading up to the event day and ensure it stays within stipulated budget.
- Scheduling meeting for clients for conference/corporate days, making sure top tired clients gets the priority.
- For physical event, print corporate presentation slides (if required).
- Provide necessary on-site support.
- Prepare post conference evaluation links and compile feedback.
Job qualitifications
- Diploma in Business
- At least 3 years’ experience in corporate access, event management or hospitality preferred.
- Good command in Microsoft Office - Excel, Word and PowerPoint.
- Knowledge in Salesforce and WeConvene an added advantage.
- Proficient in English and Mandarin.
- Team player with self-starter, proactive, positive and learning attitude.
- Ability to work in a fast-paced environment independently.
- High attention to detail and can handle multiple events at once.
