Operations Admin Assistant

Job Description:

  1. Provide administrative support to the Operations/Production Department.
  2. Maintain records of transactions and processing of the product's status according to compliance requirements
  3. Perform adjustments to correct pre-processing and processing errors in accordance with established procedures.
  4. Accurately maintain/update Daily Processing Reports (DPR) and Tally sheets, including production quantities, materials used, and production stages.
  5. Accurately record and track inventory levels for raw materials, finished goods, and packaging materials in the cold store.
  6. Perform data entry tasks to input production and inventory information into databases or electronic systems.
  7. Verify the accuracy of data entries and cross-check information with supporting documents.
  8. Collaborate with production and store teams to gather necessary information and resolve any discrepancies or issues related to production records or inventory levels.
  9. Assist in label printing & label layout design.
  10. Manage consumables stock-level inventories to buffer stock to facilitate smooth production operations.
  11. Generate reports, summaries, and analysis of production and inventory data as required.
  12. Ensure compliance with record-keeping procedures and company policies.
  13. Safeguard confidential information and maintain data integrity.
  14. Support audits and inspections by providing accurate records and documentation.
  15. Assist in continuous improvement initiatives related to record-keeping processes and systems.

Requirement:

  1. Nitec and above in any discipline.
  2. Willingness to work in a mixture of locations, between the production floor (in a cold environment) and in the office.
  3. Proficiency in using computer systems, databases, and Microsoft Office applications (Excel & Word).
  4. Strong attention to detail and accuracy in data entry and record-keeping tasks.
  5. Excellent organizational and time management skills to handle multiple tasks and meet deadlines.
  6. Ability to work independently with minimal supervision as well as collaborate effectively within a team.
  7. Verbal and written communication skills in both English & Mandarin in order to communicate with Mandarin/English-speaking suppliers/stakeholders/production staff.
  8. Familiarity with inventory management systems or software is a plus.
  9. Basic mathematical skills for inventory calculations and data analysis.
