Job Description:
- Provide administrative support to the Operations/Production Department.
- Maintain records of transactions and processing of the product's status according to compliance requirements
- Perform adjustments to correct pre-processing and processing errors in accordance with established procedures.
- Accurately maintain/update Daily Processing Reports (DPR) and Tally sheets, including production quantities, materials used, and production stages.
- Accurately record and track inventory levels for raw materials, finished goods, and packaging materials in the cold store.
- Perform data entry tasks to input production and inventory information into databases or electronic systems.
- Verify the accuracy of data entries and cross-check information with supporting documents.
- Collaborate with production and store teams to gather necessary information and resolve any discrepancies or issues related to production records or inventory levels.
- Assist in label printing & label layout design.
- Manage consumables stock-level inventories to buffer stock to facilitate smooth production operations.
- Generate reports, summaries, and analysis of production and inventory data as required.
- Ensure compliance with record-keeping procedures and company policies.
- Safeguard confidential information and maintain data integrity.
- Support audits and inspections by providing accurate records and documentation.
- Assist in continuous improvement initiatives related to record-keeping processes and systems.
Requirement:
- Nitec and above in any discipline.
- Willingness to work in a mixture of locations, between the production floor (in a cold environment) and in the office.
- Proficiency in using computer systems, databases, and Microsoft Office applications (Excel & Word).
- Strong attention to detail and accuracy in data entry and record-keeping tasks.
- Excellent organizational and time management skills to handle multiple tasks and meet deadlines.
- Ability to work independently with minimal supervision as well as collaborate effectively within a team.
- Verbal and written communication skills in both English & Mandarin in order to communicate with Mandarin/English-speaking suppliers/stakeholders/production staff.
- Familiarity with inventory management systems or software is a plus.
- Basic mathematical skills for inventory calculations and data analysis.
