A. Job Description
The Operation Executive provides admin and technical support to the team. He will help to organise and support training programmes of Caring for Life (CFL), for people with suicide ideation and community carers. As part of outreach efforts to reach these people in need, he/she will help to coordinate training sessions, engage, and work with CFL partners. He will ensure proper recording, updating and safekeeping of all training session materials, data, surveys, and information. He/she will support the admin, back-end and technical aspects of all training classes including all pre-session coordination support and post-session follow-up. He/she will support the HR and finance administrative tasks.
B. Job Responsibilities
1. Provides admin, IT and all back-end support to help achieve the mission and objectives of CFL.
2. Assist the managers for the organisation, coordination and delivery of training and support programmes of CFL, including outreach support, engagement and recruitment of groups and individuals to be trained.
3. Assist the managers in screening, recruiting, matching, orientation and training of peer leaders and volunteers, in the delivery of the programmes and training.
4. Assist in the scheduling of team staff and volunteers to always ensure adequate resources for delivery of programmes and training.
5. Assist to monitor the performance of peer leaders and volunteers in their various assignments in the delivery of programmes and training and provides feedback and help where needed.
6. Assist to prepare and submit monthly service reports, and other reporting requirements, relating to training and support programmes provided by CFL.
7. Assist in Volunteer coordination: update volunteer availability and engagement, updating volunteer on their training schedule, share Zoom link with volunteers, prepare and submit claims and payments and where admin support or coordination is needed.
8. Assist to organise and maintain the training and general files and folders in Google Drive.
9. Assist to raise transactions and claims, including but not limited to employee claims, payment vouchers, invoices, and expenses.
10. Contributes as part of core team in planning, development, and review of CFL training material.
11. Performs any other duties as requested by Clinical Director or Executive Director.
C. Job Requirements
1. Has at least a Bachelor’s Degree in Office Administration or relevant skills;
2. Has at least 3 years of working experience in the social service or related fields. Experience working with hospitals or grassroots will be an advantage.
3. Possesses good organisational, language, communication, networking, and interpersonal skills;
4. Proficient in IT, admin and back-end work and works well in teams;
5. Has passion and dedication in working with persons and families with experience of suicide ideation, risk or loss and/or persons mental health conditions.
