Project Administrator to coordinate project activities, including simple tasks and larger plans. Responsibilities include preparing action plans, analyzing risks and opportunities and gathering necessary resources. For this role, you will work with a team of Project Managers and Project Coordinators, so good communication and collaboration skills are essential.
Role and Responsibilities
1. Manage day-to-day activities in the Program Management Office (PMO) such as project governance and tracking of milestones and completeness of documentation
2. Maintain and provide guidance on project governance standards and guidelines
3. Drive deliverable management and gate closures across program
4. Support finance and procurement in invoicing and procurement
5. Support project reporting in meeting coordination and preparation and minute taking
6. Drive vendor and internal delivery teams to adhere to project governance standards
7. Schedule regular meetings and record action items and decisions (e.g. assigned tasks and next steps)
8. Roles & Responsibilities:
1. Process invoice
2. Support daily PMO task and activities
3. Prepare management reports
4. Facilitate meetings and prepare notes of meeting
5. Support yearly budgeting and workplan exercise
Requirements / Qualifications:
1. Degree holder with 2 to 4 years of relevant working experience
2. Good in MS Excel skills and handling of numbers
3. Hands on and creative problem-solving skills
4. Proficient in Microsoft Office Tools, Sharepoint and MS Teams
5. Experience in meeting facilitation and prepare notes of meetings
6. Effective information gathering and prepare management reports
Requirements / Qualifications
1. Minimum Diploma holder
2. Experience in project administration support function and calendar management.
3. Meticulous in planning, strong coordination skills, good communication (written and spoken) and following thru with actions and escalation.
