Job Description

  • Answering incoming calls; taking messages, and re-directing calls as required
  • Process and manage incoming and outgoing mail and correspondence
  • Provide office administrative support, includes scheduling meetings, booking meeting rooms, and taking minutes.
  • Daily updates of the currency exchange rate
  • Coordinate building and maintenance issues
  • Coordinate travel arrangements & accommodation for overseas colleagues
  • Printing (name card, envelopes etc)
  • Maintain filing systems and databases
  • Provide general office support, including ordering pantry supplies and managing office equipment
  • Office and warehouse housekeeping, maintenance & Repair
  • Coordinate with other departments to ensure smooth operations
  • Company vehicle management- maintenance, insurance, road tax
  • Visitor Management & Access Control
  • Workplace Safety & Health documentation, filling maintained and up to date
  • Assist with general HR-related duties (include Training administration)
  • Other duties as assigned

Job Requirements

  • Secondary school/ Certificate in Office Administration or equivalent
  • At least 3-5 years of experience in an administrative role
  • Excellent organizational, communication, and problem-solving skills
  • Proficiency in MS Office and other computer applications
  • Ability to prioritize and manage multiple tasks
  • Able to communicate effectively with various departments.
  • Ability to work independently and as part of a team.
