Operations Executive (Academy)

Position Objective


Work closely with Head of Camp Asia and Camp Asia Manager to ensure comprehensive support across both year-round Academy businesses and seasonal Holiday Camps. Support includes administrative work, event management, procurement as well as basic finance and recruitment for Camp Asia’s Academy and Holiday. Responsibility also includes monitoring net income after expenses for Academy and balance between revenue optimization and expense control.


Primary Responsibilities: Camp Asia Academy


Operations:

  • Coordinate with school Athletics, Swimming, Facilities, Maintenance, Security, AV, and IT departments to ensure smooth running of holiday camps and weekly programmes.
  • Logistical support during Academy: individual Academy set-up, registration area set-up and the management of event staffs/teaching assistants
  • Proactively handle any arising issue and escalate any emerging problems to the Camp Manager/Head of Camp.
  • Propose ideas to improve the quality and smooth-running of Academy operations.
  • Designate and manage roster/schedule of event staffs/teaching assistants.
  • Work closely with Academy coaches/Camp Manager/Head of Camp to ensure the camp experience is of the highest quality.
  • Manage Academy website including ‘live’ calendar to display black-out dates and events etc.

• Customer Service:

  • Communicating information pertaining to bookings made for Academy Programmes to parents.
  • Provide exceptional customer service ensuring all enquiries via telephone, email and face-to-face are acknowledged and answered with speed and professionalism.
  • Support customers with the online booking process and Academy enquiries.
  • Ensure accurate and up-to-date knowledge of Camp Asia’s offerings & USPs
  • Continuously work to move enquiries into bookings, always providing high level of customer service.
  • Investigating and solving customer’s problems with bookings, dealing with customer complaints and parent concerns.
  • Track termly ‘black-out dates and email customers about changes/postponements every week.

Administrative:

  • Provide termly attendance sheets for each session of each Academy to share with coaches.
  • Manage Academy website including ‘live’ calendar to display black-out dates and events etc.
  • Handling all count totals for camps and Camp Academy programmes.
  • Collaborate with Marketing Executive to ensure brand awareness of each Academy programmes.
  • Track invoices and timesheet from all partners and coaches
  • Complete P&L statements for each Academy term

Secondary Responsibilities: Camp Asia Holiday Camps

  • Work closely with Camp Asia Manager and Operations Executive to provide logistical support for Camp Asia holiday camps.
  • Logistical support during holiday camps: individual activity set-up, registration area set-up and the management of event staffs/teaching assistants and more
  • Work closely with the Customer Service team to provide customer service support for Camp Asia holiday camps.
  • Continuously work to move enquiries into bookings, always providing high level of customer service.

Position Requirements

  • Enjoy working with children in a school/camp environment.
  • Strong verbal and written communication skills
  • Ability to multi-task, work independently and as part of a small and dynamic team.
  • Good Microsoft office skills especially Excel
  • Strong Customer Service/ Sales experience with the ability to convert customer enquiries to sales.
  • Able to work on weekend to reply to enquiries, emails, and phone calls and for events and weekly weekend programs.

Qualifications

  • Degree or Diploma qualifications
  • At least 2 years’ experience in office administration and events management

Working Conditions

  • Based in schools for Camps season and Academy programmes
  • Based in regional office/home during “non-camp” and “non-academy” times
  • School environment during school holidays for “camp” seasons
  • Dynamic and fast-paced environment.

Terms of Employment

  • Working Hours: 9.00am – 6.00pm, Mondays to Friday 9.00am – 1:00pm, Alternate Saturday
  • Holiday Camp: 7:30am – 4:30 pm, Monday to Friday (up to 16 weeks/year)
  • Annual Leave: 15 days
  • Medical Benefits: Local medical insurance provided the applicant is not currently covered
  • Probation Period: 3 months from date of commencement
  • Referee request: Required
  • Background check: Required
