PRIMARY DUTIES & RESPONSIBILITIES
1. Assists the Clinic Manager in the smooth and effective operations of the department.
- delegates duties to the staff under her supervision and provides guidance when necessary.
- oversees all bookings to ensure that they are handled efficiently.
- ensures availability of supplies.
- provides feedback to Clinic Manager / Manager, Hospital Operations about the products and
services supplied by vendors to assist in vendor evaluations.
- attends to customer complaints ( received verbally or through letters/Patient’s Evaluation
Questionaires [PEQs] ) expeditiously. Informs the Clinic Manager / Manager, Hospital
Operations of such complaints and carry out corrective or preventive actions in
consultation with Clinic Manager / Manager, Hospital Operations.
2. Performs procedures/treatments and nursing care for outpatients in addition to assisting the
doctors with outpatients, medical health screening patients and sick staff.
- ensures that the consultation rooms are in order and checks that all equipment emergency
trolleys and stationary are ready for use when required.
- attends to outpatients, gives first aid, registers patients and assists the Resident Doctors
(RDs).
- follows-up with results of investigations done for outpatients and inform them of their results.
- prepares for and assists RDs in practical procedures like stitching, application of POP etc.
- carries out treatment and nursing procedures like dressing and stitching for outpatients.
- administers injections and medications as prescribed by the doctors.
- sends all used packs and instrument for sterilising to Central Sterile Supply Unit (CSSU) and
to replenish stocks.
3. Dispenses medications from mini pharmacy according to the doctors' prescriptions.
4. Attends to ambulance call and goes out to fetch the patient when required.
5. Keep par level of drugs in mini pharmacy and to ensures that stocks are replaced daily by
pharmacy. Checks mini pharmacy stocks monthly and returns all medications that are
expiring within the same period.
6. Admits patients and carries out all investigations as ordered by the doctor, like group and
cross-match and pre-op screening etc.
7. Acts as a public relations officer and maintains good rapport with patients, visiting doctors
and the public.
- attends to telephone and public enquiries promptly and tactfully.
- guides and advises staff in handling telephone and public enquiries.
- checks and records the blood received from BTS and returns the blood to BSG after 48
hours if the blood is not required anymore.
- monitors expiry dates of emergency blood and returns blood to BSG for exchange one week before expiry.
8. Checks and cleans the ambulance every Sunday.
9. Co-ordinates with the nursing and para-medical departments in providing for the patients’
total needs
- makes arrangements for procurement of blood from BSG.
- pages for staff-on-call to come back for xray procedures.
- pages for MIS staff for user departments.
10. Updates and maintains quality records within the statutory required retention period through
proper identification, filing storage, maintenance and disposition of these records. Assist
Clinic Manager, in auditing outpatient cards/ documentation to ensure that records are up
to date and in line with the legal requirements for documentation.
SECONDARY DUTIES & RESPONSIBILITIES
1. Performs any other duties as assigned by Clinic Manager / Manager, Hospital Operations
2. Sends dirty linen to laundry.
3. Assists in bookings for OT and surgical induction for obstetric patients. Also bookings for
medical, gynae and paediatric new admissions. Registers patients for child birth education
classes.
4. Helps out in the wards when requested.
5. Compiles work permit reports and permanent residence screening reports and arranges for
despatch to patients or collection by patients.
