Representative Management
- Administer onboarding/offboarding of representative.
- Update of representative particulars or contact details.
- Conduct induction training for newly appointed representative on submission administrative process.
Correspondence Handling
- Handle emails coming through the department mailboxes and assign to team members in-charge of respective subject matter.
- Co-ordinate with respective stakeholders and team members to implement changes that affect operation process due to request from provider/ changes in providers’ handlings.
- Disseminate announcement from product providers to keep representatives informed on product/process update.
- Proper house-keeping of all archived emails for department.
- Ensure meeting of service level for all correspondences handled for all team members.
Service Quality
- Attend to general queries from field representatives, product providers or inter-department relating to submission process/policy/account matters.
- Handle escalated complex enquiries from representatives including Not-In-Good-Order (NIGO) or reject submissions. Work closely with Compliance on escalated cases to derive decision.
Sales Submission
- Support pre/post sales applications from representatives for submission to product providers.
- Meeting of KPIs – accuracy, quality output and service levels.
- Adherence to regulatory and internal guidelines for processing functions.
Systems & Others
- Prepare management or regulatory reports.
- Ensure Standing Operating Procedure (SOP) are up-to-date.
- Attend to ad-hoc audit requests.
- Work on enhancement for new system and perform User Acceptance Testing (UAT) for changes implemented and issue logs raised.
- Work closely with cross-functional teams for processing functions with interdependencies.
- Identify interdependencies when analyzing issues and proactive to propose resolution.
- Perform ad-hoc tasks as and when assigned.
Qualifications:
- Diploma in Business Administration or equivalent.
- Minimum 2-3 years preferably in banking/financial industry. Candidates with more experience will be considered for a senior role.
- Possess good knowledge in financial products (such as insurance and investment).
- Proficient in Microsoft Office applications.
