[Your Role As Our Executive Assistant]
You’ll be a key team player in supporting our Senior Leadership team in a wide spectrum of business functions such as Facilities Management, IT Operations Management & HR Operations:
Facilities Management
- Ensure that our classrooms are in operable conditions based on defined SOPs: You’re in charge of maintaining a clean & conducive environment for our students to learn & team members to work in!
- Assist in project & contractor management: You’ll be actively involved in liaising with different contractors on renovation, repair & maintenance work.
- Implement & oversee office logistics management: As our very own Marie Kondo, you’ll be in charge of proposing & documenting a system that organises our logistics neatly & logically. The key components of this system will include:Categorisation guidelines based on use case & weight
Maintenance schedule for all team members
Weekly maintenance schedule for yourself (including cleaning areas seldom accessed by cleaners & consolidating used packaging & arranging for removal)
Ideas on how we can use more space-efficient, aesthetic organisational furniture (e.g. plastic containers, boxes, drawers, etc.)
Labelling system that encourages self-help
- Assist in office lease management: At this stage of our organisational growth, we’re constantly looking for bigger spaces that can accommodate our growing number of team members & students. You’ll be responsible for researching suitable office/classroom spaces, space planning & stakeholder management.
- Oversee food catering & procurement-related matters (local/overseas): You’ll be actively involved in sourcing the best deals (food & goods) to feed our team members during the weekends & school holidays, and secure the most memorable Children’s Day gifts & Chinese New Year red packets for our community.
IT Operations Management
- Assist in device deployment & patching: From our team members’ Macbooks to network equipment & CCTVs in our offices & classrooms, you’ll be involved in setting up & maintaining our IT equipment & infrastructure based on our in-house guides.
- Assist in backup management: You’ll be responsible for ensuring our network infrastructure & servers are consistently backed up, which will help us restore records effectively if needed.
- Maintain IT helpdesk: You’ll be in charge of helping our team members troubleshoot their devices & business equipment (e.g. door access systems) to ensure smooth daily operations.
Community Management
- Assist in HR-related operations & events: As our HR Team’s business partner, you’ll play a supporting role in onboarding & offboarding processes, and execute employment engagement & campus outreach events.
- Analyse post-event attendance metrics: Regular company socials are in our DNA & you’ll be involved in keeping a pulse on how our team members are enjoying & benefitting from these initiatives!
