Duties and Responsibilities
- Assist the Head in the management of the Home’s operations in compliance to the SOC and SOPs.
- Implement, manage, evaluate and improve current operational processes and procedures in accordance with the standards and procedures.
- Oversee core functions including staffing, recruitment and development of the Operations Department.
- Develop training roadmap and conduct trainings for staff.
- Assist in developing strategies and implementation plans to improve and standardize all aspects of operations.
- Oversee implementation of measures to mitigate risk to clients
- Develop, write and implement SOPs.
- Assist the Head of Home in monitoring the execution and review of Strategic Plan.
- Establish metrics for key areas of measurement within operations and hold teams accountable to achieve or exceed these goals.
- To ensure that all records, accounts, documents and correspondences are properly maintained and kept up to date.
- To ensure timely and accurate submission of reports to internal and external parties (i.e. the Ministry, other government agencies, etc.)
- To assist in ensuring preparation of monthly and quarterly reports in the Home.
- To assist Head of Home in conducting Resident’s Suggestion and Feedback session with the residents.
- To ensure that the Home’s security measures are adequate and make recommendations based on residents needs.
- To provide guidance and support to Operations Department, Program & Admin Department, and Support Staff.
- To assist Head of Home with facilities/logistics matters
- To support the HOH in raising the profile and quality of care of the Home by recommending and managing initiatives including fundraising, partnerships and programmes with corporations and donors.
- To support PERTAPIS Headquarters and inter-departmental initiatives by planning deployment for events and fundraising projects.
- To develop and review Business Continuity Plans.
- Carry out preliminary investigation of incidents and to conduct disciplinary actions.
- Overseeing facility maintenance in the Home.
- To carry out any other relevant tasks as required for the Home and PERTAPIS.
Candidate Requirements
- Min. diploma / degree in operations management or similar
- Min. 3 years of relevant working experience, preferbly in social service sector.
- Able to perform morning and afternoon shift duties
- Knowledge of basic IT (MS Word, Excel, Access and Powerpoint)
- Good interpersonal and communication (Oral and written) skill
- Multi-tasking and time-management skills, with the ability to prioritize tasks.
