A*STAR Skin Research Labs (A*SRL)/Skin Research Institute of Singapore (SRIS) is looking for a Administration Executive to support the Business Development (BD) operations, working closely with the Business Development Director and the Business Development team, researchers, SRIS partners and internal groups within the organisation.
The key role and responsibilities include:
- Assist the BD Operations Manager in developing, maintaining, and overseeing the policies and procedures governing research in A*SRL/SRIS
- Support the BD Director to improve the general administration of BD through close coordination and collaboration with other internal stakeholders
- Tracking and managing legal agreements and maintaining legal agreement database (e.g. CRM tracking)
- Liaising with project managers to ensure contract terms are followed
- Facilitating the negotiation and execution of legal agreements, e.g. filling in templates, checking grammar mistakes and page numbers, cleaning up drafts, summarizing contract, liaising with collaborators for NDAs and submission for ED’s signatures, coordinating with all parties for signatures
- Act as a check point for compliance requirements by sighting compliance related approval documentation where necessary
- Provide secretariat support for all BD and contracts negotiation meetings
- Ensure key stakeholders involved in agreements are reminded of the need for completeness when filling up standard forms and agreement templates
- Ensuring prudent use of resources, etc.
- Assists in maintaining KPI database & to provide accurate information for reports to internal & external stakeholders
- Assists in developing materials for business development engagement activities
- Provide support to facilitate the training and guiding of scientific staff using standard templates, eg how to fill up standard forms and agreement templates for compliance and contract negotiation respectively
- Any related duties as determined by the BD Director
Requirements
- Bachelor’s degree in legal/research/science/technology management, or related fields with a keen interest in research administration with at least 5 years relevant experience
- Must possess a flair for writing to handle minutes and draft presentation slides
- Meticulous, resourceful and uses sound judgment and demonstrates initiative in carrying out assigned duties, with good organisational skills to create / maintain detailed records
- Detailed-oriented and IT-savvy to navigate through databases and software applications
- Proficient in Microsoft Office – word, excel and PowerPoint
- Able to complete quality work within deadlines
- Excellent organizational, communication (both verbal and written) and interpersonal skills, any experience with reviewing contracts is advantageous
- Able to work independently and as a team in a fast-paced environment
- Positive learning attitude with pleasant personality
