Reporting to the Senior HR Manager, ASEAN, you will be responsible for the full spectrum of HR and Admin functions. You will collaborate with various stakeholders and support the day-to-day HR & Admin activities for Singapore office.


Responsibilities:-

HR Functions (50%)

  • Responsible for the full spectrum HR operations covering employee full life cycle, including recruitment, on-boarding, engagement and off-boarding
  • Administer training and work-related matters including coordination or enrolment of internal and external courses, update and maintain training records
  • Liaise with relevant government bodies on participation of mandatory surveys; application, renewal, cancellation of work passes; and reimbursement and claims submissions
  • Create and maintain employee p-files and records in electronic and paper form
  • Supervise and manage company driver’s daily schedule and overtime claims
  • Coordinate and support company and staff engagement activities, annual gathering and office meetings

Office and Admin Functions (50%)

  • Provide a healthy and conducive work environment for all employees by ensuring that the workplace is clean, safe and well-equipped
  • Review and manage contracts/service agreement for office landlord and vendors eg. lease agreement, photocopier lease agreement, cleaning service agreement, record storage agreement etc.
  • Manage company cars road tax, insurance renewals, appointments for servicing
  • Manage telephone enquiries, incoming and outgoing mails
  • Monitor and purchase office supplies, stationery and pantry items
  • Responsible for verifying utilities, office rental, cleaning services and other ad hoc invoices from tax or other back-office invoices; and ensuring payments are made promptly
  • Provide secretariat support to Directors eg. booking of hotels, meeting rooms, print and prepare meeting materials etc
  • Provide admin support to Finance dept on AGM & Board Meeting matters

Requirements:-

  • Minimum Bachelor Degree in Business Administration or related disciplines; preferably with specialization in Human Resources Management
  • Minimum 3 years of relevant HR generalist experience
  • Good understanding of Singapore Employment Act and general human resources policies and procedures
  • Fluent in both written and spoken English and at least one ASEAN language
  • Proficient in Outlook, MS Word, Excel and Powerpoint
  • Good analytical, problem-solving skills and organisational skills, able to multi-task
  • Excellent communication and interpersonal skills
  • Meticulous, hands-on and able to maintain confidentiality
  • A team player with positive mind-set and initiative
