The Finance & Administration Department is looking for a matured and capable team player to join their growing team. As an integral member of the Singapore Office, the expectations and challenges are high but will be very rewarding and exciting for high performers.
We are looking for a HR & Administration Executive (1-Year Contract) who is/has:
- Minimum Diploma in Business Administration, Human Resource, or related field
- Keen on learning more about Human Resource and Office Administration functions
- Proficient in Microsoft Office (Word, Excel, Outlook, PowerPoint etc.)
- Meticulous and detail-oriented
- Excellent communication skills in English (written and spoken)
- Willing to work in a close-knit team, with the ability to collaborate and support each other.
- Good time management and interpersonal skills
- Able to multi-task and work in a fast-paced environment independently
- Responsive and proactive with strong follow-through skills
Duties & Responsibilities:
- Support the various main PICs in HR functions, with emphasis on Recruitment, Learning & Development, and Employee Engagement.
- Recruitment:
- Support the coordination of recruitment and selection activities (e.g., communicating with recruitment agencies, facilitating interviews)
- Support the onboarding/offboarding of staff (e.g., preparing necessary documents and other items)
- Learning & Development:
- Support the development and implementation of Learning & Development programmes including e-learning content.
- Support in the sign up of training courses/seminars for staff
- Support in monitoring progress and cost of training courses/seminars
- Employee Engagement:
- Assist in planning and organizing company-wide activities to enhance employee engagement and satisfaction.
- Assist to design internal and external company collaterals to showcase company branding.
- Assist with UAT for various system improvements.
- Recruitment:
- Work with HR/GA team to support office administration matters when assigned, such as
- Business trip coordination (e.g., flight and hotel bookings, VISA applications)
- Collaborate with external stakeholders, such as landlords and contractors, to address maintenance issues promptly (e.g., faulty lighting, door maintenance).
- Efficiently dispatch and coordinate outgoing documents/packages with designated courier services.
- Coordinate and schedule maintenance activities for company vehicles, including carwash schedules.
- Professionally handle calls on the office general phone line and direct callers to the appropriate extensions.
- Assist in visitor management by checking schedules, extending warm greetings, offering hospitality, and promptly informing the respective Point of Contact (POC) of guest arrivals.
- Provide assistance and support to employees and Management for any HR/GA related queries.
- Other duties as requested by Management.
