Job Purpose:
To oversee the support for sales team with administrative and physical tasks. The goal is to facilitate and optimize their sales performance
Job Responsibilities (non-exhaustive):
- Prepare quotations, invoices, delivery orders
- Assist in payment collection from clients
- Prepare internal documents: credit notes, adjustment forms, write-off forms, manual delivery orders
- Administer Advance Invoice Back Orders (AIBO) duties
- Update (i) Stock listings (backlogs & storage facilities) (ii) Business Partners record (iii) Catalogues
- Coordinate with different departments to complete tasks
- Keep up to date with sales campaigns and offers
- Support storage billing on quarterly basis
- Support sales campaigns and/or wine events
- E-Commerce administration (sales leads, queries, inventory loading)
- Provide timely and accurate feedback to Superior/Director
Job Qualifications/Prerequisites:
- Experience in sales administration
- Knowledge in MS Excel: pivot table and V/H lookup
- Well-organized and responsible with an aptitude in problem-solving
- Good account management – Monitor & collect payment promptly
- Customer service oriented
- Professional Attitude: Integrity, dependability and reliability
- Good computer skills (MS Office, especially in Excel)
- Wine and/or Sales support experience is a bonus
Skills and Knowledge:
- Good communication and PR skills
- Previous experience in an order processing role
- Good level of written and verbal communication skills
- Fast and accurate data entry skills
- Pleasant and professional manner
- Team player with ability to work autonomously
