We are looking to hire an Operations Administrative Executive that can provide administrative and operational support to the Operations Department to ensure the smooth functioning of the company's day-to-day activities.
The ideal candidate possesses administrative experience and must be able to work independently with minimum supervision.
This role reports directly to Head of Operations & Safety and dotted line to Head of Human Resources and Administrative.
Job Description:
Provide administrative support to daily operations work includes but not limited to the following:
- Collate and update Operations team weekly schedule and attendance sheet
- Assist on-site permit application and renewal of lifting equipment
- Assist in company vehicle mileage usage, vehicle washing meter reading reporting
- Assist in preparing weekly vehicle washing and warehouse cleaning schedules
- Assist in monthly Operation team activities reporting
- Assist in scheduling meetings and prepare monthly meetings minutes
- Liaise with Insurer on motor insurance claims
- Filing administration and managing office including issuing uniforms, PPE and pantry supplies
- Coordinate and maintain training records
- Ensure the office environment and procedures meet health and safety regulation standards
- Any other tasks as assigned from time to time
Requirement:
- Candidate must possess at least Diploma in Business studies/Administration/Management or equivalent
- At least 3 years of related experience in providing office administration support to operations
- Highly proficient in Microsoft Office (Word, Excel, PowerPoint, Outlook)
- Ability to work independently in fast-paced environment and under tight deadlines
- Must be pro-active, take initiative without waiting for instructions.
