Reporting to the Executive Director, you will be supporting ED for all business activities in managing the pre-sales support function and daily business operations, including providing support for tender, proposal submission, project implementation and any other business support requested by ED.
Act as operational Secretary to ED, provides high-level administrative support by conducting research, preparing statistical reports, handling information requests, performing clerical functions such as preparing correspondence, receiving visitors, arranging conference calls, and scheduling meetings.
Responsibilities:
• To perform operational support function and administrative tasks to ensure timely and quality service provided to customers.
• To deliver standards and drive best support in all aspect to Executive Director.
• To handle a vast amount of paper works, input data into PCs or clouds so that up-to- date information are on track.
• To ensure consistent attention to operational documentations and contracts, to be in a safe, secure storage and comply ISO (9001:2015 & 45001:2018) standard, and easily retrieved on demand.
• To deliver high quality work in supporting tender/proposal submission.
• To provide the project implementation team with necessaries required to carry out after sales tasks.
• To attend meetings that the ED holds internally and externally and ensure appropriate follow-up actions are taken as a result of such meetings.
• To connect with and coordinate internal resources to streamline business operational processes.
• Meet with individuals, special interest groups and others on behalf of executives, committees.
• Prepare reports, memos, letters, and other documents using MS word processing, spreadsheet, power point, and/or presentation software.
• To assist in whatever capacity is needed to keep operations flowing and on track.
• To assist the ED in all aspects of his official life & schedules in related to company business;
• To perform all other duties as requested by the ED.
Pre-requisites:
- min 2 years of relevant experience.
- with basic knowledge of accounting is preferred.
- with experience using SQL accounting system is a must.
